Write a useful memo without inventing facts

Separate the facts you supplied from the details an assistant is tempted to add.

Start with this example

Project: sample reporting dashboard
Status: prototype
Next step: review with the team
Owner: not assigned
Launch date: not agreed

Give your assistant a clear brief

Use a compatible tool you already have, or choose a reviewed guide below. This is a suggested learning exercise, not proof that a specific installation has been tested.

Turn these facts into a one-page project memo with Status, Next step and Open decisions. Use only the supplied facts. Do not invent an owner, budget, customer or launch date. Mark unknowns clearly.

Project: sample reporting dashboard
Status: prototype
Next step: review with the team
Owner: not assigned
Launch date: not agreed

Check the result

The memo must say prototype, include the team review and leave the owner and launch date undecided. If it adds a date, budget or named customer, ask it to remove the unsupported claim.

What to take away

A polished document still needs a factual contract. Explicit unknowns are useful information.
