Switching

How to switch from Artlogic

The move involves exporting your artwork and contact records, mapping any additional history you want to bring across, then checking the new records before you stop using Artlogic.

    Export artworks and contacts

    Start with the records the migration supports: artworks and contacts, including collectors. Artlogic provides exports for these records, and configurable CSV exports are the route described for the move. Check which fields and export formats your account allows with Artlogic before you begin. Keep a copy of each original export so you can compare it with the imported records.

  2. 2

    Choose the history to bring

    Decide which additional records you need in the new system. Invoices, offers, contracts, media files and account balances need separate mapping and reconciliation, rather than the supported artwork and contact import. Agree what history to carry over and what to keep accessible in Artlogic. Images remain files you manage separately, so include them in your migration plan if you need them.

  3. 3

    Test, then load the records

    Prepare the supported artwork and contact records as spreadsheets saved as CSV. Run the import's dry run first, before loading the records, so you can test the files and see what needs attention. Once the test looks right, import the records. If Enterprise DNA is running the migration, they handle this loading work as part of the agreed scope.

  4. 4

    Review flags and reconcile

    Check the import results and review every record the import flags or says will not carry over. Correct mapping issues and reconcile the records that need separate handling, including the history you chose to bring. Do not assume that a successful artwork and contact import also brings across agreements, financial history or media. Resolve gaps before relying on the new records for daily work.

    Run both, then switch

    Keep Artlogic available while you use the new database with Claude Code for a short period. Check that the records and workflows you rely on are represented correctly, and finish any agreed reconciliation of history. When you are comfortable that the new setup is ready for daily use, move your work to it and switch off your Artlogic account.

Where the real effort goes

The main effort is usually mapping your own fields and rules, then deciding which history to carry and reconciling records that do not come through the supported import. Artwork and contact records are the starting point, not the whole account. If Enterprise DNA runs the migration, they handle this mapping, loading and checking as part of the agreed scope.

It covers the gallery operating record: artworks, artists, consignments, collectors, offers, sales and exhibitions. We scope your website, viewing rooms, image workflow and other connections when we build your version. Start with what your gallery actually uses.

Can we bring our history and images across? expand_more

Artlogic provides artwork and contact exports. The free version imports those records from a spreadsheet saved as CSV. Agreements, financial history, offers and image files need a separate mapping and reconciliation. Enterprise DNA handles that work in your migration scope, before you switch off the old account.

Will it calculate and file resale royalties for us? expand_more

It flags resale records for review and keeps the evidence of your decision. Australian resales receive a threshold check and an indicative amount. Eligibility, other jurisdictions and submissions require review. Nothing is filed or paid automatically.

Can we put our name on statements and exhibition lists? expand_more

Yes. The free version produces artist statements, condition records and exhibition checklists in your gallery name. We adapt the wording and layout for your agreements and paperwork. These are working records; tax invoicing needs its own scope.

What are we paying Enterprise DNA for? expand_more

Building your version, moving and checking your records, connecting the agreed systems and keeping it running. There is one setup fee, then a retainer. The database stays yours. If you operate the free version yourself, allow for your own hosting and agent service costs.
