The plans
What Baseplan charges
Baseplan does not publish a price. You have to book a demo to hear one, and third-party figures put the per-user licence at roughly USD150 a month for a single user, climbing to about USD1,200 a month at ten users, on top of an implementation project quoted separately at USD5,000 to USD50,000 before the subscription even starts.
Per-user licence (demo request only)
Quoted privately
Third-party figures put it around USD150 a month for one user, rising to roughly USD1,200 a month at ten users, with the price only given after a sales demo.
How the bill is built
A licence hidden behind a demo
Baseplan will not quote a price online. You request a demo, a salesperson works out your seat count, and the per-user licence grows every time you add a person at the desk, the workshop or the depot.
An implementation project before day one
Configuration, data migration and training are sold as a separate consulting project, reported at USD5,000 to USD50,000 depending on size, paid before the subscription starts and before you have hired out a single machine.
Modules sold apart from each other
Rental, service, CRM and dealership functions are split into separate modules. The workflow your team actually needs, whether it is off-hire tracking or a compliance check, is often sitting in the module you did not buy.
Upgrades that reopen the project
Moving to a new version of the system is not a quiet update. It is described as bringing consultants back in, the same way the original implementation did, rather than something that happens quietly in the background.
A year of Baseplan
A year that starts before the software does
The licence alone runs from roughly USD1,800 a year for one user to about USD14,400 a year at ten users, using twelve times the monthly figures reported for Baseplan. None of that includes the implementation project, which is quoted separately at USD5,000 to USD50,000 and paid up front. The actual number for your business only appears after a demo call, not on a page you can read yourself.
Underneath the bill
What you are really paying for
A price you have to ask for
There is no public number to compare against. You give Baseplan your seat count on a call, and the per-user licence that comes back is theirs to set, with every extra person at the desk or depot adding to it.
Modules cut apart from your work
Rental, service, CRM and dealership are sold as separate pieces of one suite. The hire desk task you need done today can land in a module that was never part of what you signed up for.
Reports you asked for and did not get
Reporting inflexibility is the loudest recurring complaint in hire software reviews, and a long-term Baseplan customer describes ending up working outside the system and keeping it mainly for tax invoices.
The owned alternative
The equipment hire system you own instead
Enterprise DNA builds your own version of the equipment hire system around how your yard actually runs, brings your Baseplan customer, fleet and contract history across, and runs it for you, for one setup fee then a monthly retainer, with no per-seat licence to ask the price of again. There is also a free version any owner can run themselves, with the same records in a database you own and Claude Code running the day-to-day work in plain language.
Equipment Hire for Claude Code
One setup fee, then a monthly retainer. No per-seat plans, no tiers, and the system is yours.

Questions
Baseplan pricing, answered
Why won't Baseplan just tell me the price? expand_more
Baseplan sells through a demo request rather than a published price list, so the figure you get is worked out on a call around your seat count and setup. Third-party estimates put it near USD150 to USD1,200 a month per user, but the number quoted to your business could sit anywhere around that.
Is the implementation cost a one-off or does it come back? expand_more
It is billed as a project up front, reported at USD5,000 to USD50,000 depending on size, before the licence even starts. Version upgrades later are described as reopening that kind of project rather than arriving as a quiet update, so the cost is not always truly one-off.
Does the per-user licence really scale with every extra person? expand_more
Yes, based on the figures reported for it. A single user sits around USD150 a month, but that climbs toward roughly USD1,200 a month once ten people are logging in, so adding staff at the counter, workshop or depot adds directly to the bill each month.
