Instead of Capsule CRM
Stop renting Capsule CRM. Own your relationship records.
Enterprise DNA builds a CRM shaped to the way your firm wins and keeps work, moves your Capsule contacts and opportunities over, and looks after it from then on. Nobody on the team counts as an extra user.
Capsule CRM lists Starter at US$18, Growth at US$36 and Advanced at US$54 per user a month, billed annually, with Ultimate priced by its sales team.

How Capsule charges
Every Capsule plan is a per-user fee, a contact ceiling and a feature line
On annual billing, one Growth user is US$432 a year and one Advanced user is US$648 a year. Multiply by the number of people who need to look, then check which plan holds the feature you came for.
The fee follows headcount
Starter is US$18 per user a month, billed annually. A five-person office pays for five logins, even if two of them only check a contact now and then.
Automations start at Growth
Workflow automations, reporting dashboards and advanced sales reporting are listed from Growth at US$36 per user. Starter gets basic reporting.
One pipeline until you upgrade
Starter lists a single sales pipeline. Running separate pipelines for new business and renewals, or one per service line, means the Growth plan.
A ceiling on how many people you keep
Starter holds 30,000 contacts, Growth 60,000 and Advanced 120,000. A firm with a long client and prospect history climbs plans to keep it.
Email marketing is a separate product
Email campaigns come through Transpond, an add-on starting from $11 a month on top of the CRM plan.
Export is a permission, not a right
Bulk contact export needs a user whose profile is allowed to export. Capsule's export help covers contacts; opportunities and history are not part of that page.
What you get instead
Relationship records you can simply ask about
People
Contacts and organisations without a ceiling
Everyone you have worked with or quoted, linked to their organisation, with every call and note attached. The size of the list changes nothing on the invoice.
- check No contact cap to plan around as the business grows
- check One request brings back a client's full story, oldest note to newest
- check Lists by anything you can say out loud, such as Wellington clients not contacted since June
- check Organisations, people and their roles kept together
Opportunities
Every opportunity by stage, on request
Ask about any opportunity by stage and value. There is no plan to move up to for reporting.
- check Value at each stage, plain and weighted
- check Which opportunities moved this week and which stood still
- check How often you win and how long it takes
- check Totals by service line, owner or source on request
Follow-ups
The week's chasing, listed for you
Ask what has slipped and it names the overdue tasks, the quiet opportunities and the clients who have not heard from you in a month.
- check Overdue tasks grouped by person
- check Opportunities with no activity in a fortnight
- check A draft message written from that client's own history
- check Nothing goes out until you have read it
Your rules
Changed by describing the change
Want a new field, a renamed stage or a rule about when a client counts as lapsed? Say so in a sentence and it is added. Custom fields are not rationed.
- check Fields and stages named the way your firm talks
- check The whole team on it with no per-user charge
- check MIT licence, no vendor to leave
- check Works with Claude Code

Switching
How to switch from Capsule CRM
A move usually involves exporting your contacts, mapping Capsule’s fields, checking the imported records and running both CRMs side by side before you stop using Capsule.
- 1
Export your Capsule records
In Capsule, export contacts in bulk from People & Organizations as CSV, Excel or vCard. The user doing the export needs permission enabled in their profile. Capsule’s help page does not explain how to export opportunities or history, so ask Capsule support how to get those records before you cancel. Export the records your account allows and decide which history you need to bring across.
- 2
Map and load the records
The free CRM reads a Pipedrive export out of the box, but Capsule uses different column names. Map Capsule’s fields to the new database before loading the records. You can ask Claude Code to help with the mapping, or Enterprise DNA can do it when they build your version. Check that the records you plan to bring are included in the load.
- 3
Review the imported records
Review anything the import reports as needing attention, including fields it could not map. Check the totals against your Capsule exports and open a selection of records to confirm that the information landed in the right places. Pay particular attention to opportunities and history if you arranged a way to export them, since Capsule’s help page does not cover those exports.
- 4
Run both CRMs side by side
Keep Capsule available for a short period while you use the new CRM for current work. Compare the records and history you rely on, and check that the details you need are present before making the new system your main CRM. This overlap gives you a chance to catch missing information while Capsule is still available.
- 5
Switch off Capsule CRM
When you have checked the records you need and are ready to work in the new CRM, stop using Capsule. Do not cancel before you have resolved how to export any opportunities or history you still need. Keep the exported records according to your business’s own record-keeping needs.
Where the real effort goes
The main work is usually mapping Capsule’s fields and rules, then deciding how much opportunity and relationship history to bring. Capsule’s documented export covers contacts, but not opportunities or history, so check with Capsule about those records before you start. The free importer is built for Pipedrive exports, not Capsule columns. Enterprise DNA handles the mapping and checks the totals when they build your version.

Questions
Instead of Capsule CRM, answered
Capsule is already cheap. Why change? expand_more
For a small team it often is. The cost grows with each person you add and with each feature that sits on a higher plan: automations, dashboards and more than one pipeline start at Growth. If you keep hitting those limits, owning the system costs the same however many people use it.
How do I get my records out of Capsule? expand_more
Capsule's help centre shows contacts exporting in bulk from People & Organizations as a CSV, Excel or vCard file. The user doing it needs the export permission switched on in their profile. Opportunities and history are not covered on that help page, so ask Capsule support how to pull them before you cancel.
Will the Capsule file import as it is? expand_more
Not untouched. The free version reads a Pipedrive export out of the box, and Capsule names its columns differently. Ask Claude Code to map them, or Enterprise DNA does the mapping and checks the totals when we build your version.
We use the Xero connection in Capsule. What happens to that? expand_more
The free version does not connect to Xero.
Does anyone on our team need to be technical? expand_more
No. People ask for what they need in ordinary sentences and get short lists back. Enterprise DNA does the installation and the move from Capsule.
Your client history belongs with you
30 minutes with Sam. We go through what you pay Capsule now, which plan features your team relies on, and what your own version would look like. If it fits, we build it and bring your records over before the next annual bill. If it does not, the free version is yours to keep.
