Instead of CarelinkPlus

Tired of negotiating every CarelinkPlus renewal behind closed doors? Own your community care system.

We build your version around the programs you deliver and the way your coordinators roster, move your CarelinkPlus clients, workers and visit history across, and keep it running for you.

Civica publishes no CarelinkPlus price. It is quoted privately, and migration, implementation and training are sold as a separate service.

Where a CarelinkPlus quote comes from

A core system, companion products, and services sold alongside

CarelinkPlus is the centre of a family of Civica products. The mobile workforce, the web screens, the integrations and the hosting each carry their own name, and none of them shows a price in public.

request_quote

No price until you ask

Civica's page offers a demo and a contact form, not a price list. You learn what it costs inside a sales conversation, and you compare it with nothing published.

smartphone

The mobile workforce is a second product

Rostering and shift management for workers out in the community is CarelinkGo, sold beside CarelinkPlus rather than inside it.

hub

Connections through another product again

Linking CarelinkPlus to other systems runs through the CarelinkConnect APIs, and the web-based screens are CarelinkAir. Each name is another piece of the suite.

cloud

Hosting as a managed service

You can run it on your own servers or in the cloud, and the cloud option is CarelinkCloud, Civica's managed services and hosting.

school

Getting started is consulting work

Data migration, implementation, consulting and training are offered as Carelink Services and Training, separate from the software itself.

inventory_2

Your client history in their reports

Years of client files and visit records sit in CarelinkPlus. Civica publishes no export guide, so the built-in reports are one way the data comes out.

What your organisation gets instead

One owned record of every client, visit and claim

Visits

A roster that checks the rules before it saves

Problems are caught when a visit is booked, not weeks later in an audit.

  • check A worker whose NDIS Worker Screening clearance has lapsed by the visit date cannot be rostered
  • check No visit can sit outside a signed, current service agreement
  • check The same worker cannot be in two places at once
  • check Short notice cancellations record their notice, and whether they can be claimed follows from it

Income

Delivered care that never goes unbilled

Each morning the coordinator sees which finished visits have no payment request yet.

  • check Completed, noted visits with no claim against them, oldest first
  • check Claims priced at the rate in the client's agreement, so a claim over the price limit cannot be made
  • check The bulk payment request file ready for a person on your team to upload
  • check Rejected claims keep their reason on file and stay on the list until resubmitted

Evidence

Records an auditor can read without a report writer

The rules are listed with where each one comes from, and the strictest stop a record until it is complete.

  • check A visit cannot be closed without its progress note
  • check A reportable incident stays open until the Commission notification is recorded
  • check One check names every breach beside its rule and its source
  • check Nothing is deleted: clients exit, workers become former staff, claims are kept for 7 years

Yours

Answers to your own questions, not a report catalogue

Instead of hunting for the right one of hundreds of reports, coordinators ask for what they want to know.

  • check Ask any question across clients, workers, visits and claims in plain words
  • check Add a field, a program or a rule by describing it
  • check Agreement budgets tracked against pace, so under-delivery shows before the plan review
  • check Open source under the MIT licence, with no renewal to negotiate and nothing to cancel

Switching

How to switch from CarelinkPlus

A move usually involves exporting your records, mapping and testing them, checking the results, then running both systems side by side before switching.

  1. 1

    Export your records

CarelinkPlus has no published bulk export guide. Use its built-in reports for client, worker and visit lists, and ask Civica for your data if you need more. Export what your account allows, and check with CarelinkPlus which records and history you can take out. Include the records you expect to keep using.

  2. 2

    Map and load the files

Home Care for Claude Code has an import for records from CSV, but CarelinkPlus files use different columns. Map those columns to the new database, then run a test import first if the import offers one. Review the test output before loading the records you intend to use. Decide which history to bring across rather than assuming every old record belongs in the new system.

  3. 3

    Check the import results

Check the import results for issues it identifies, including shifts without a covering service agreement and clients with no recorded funding type. Correct the source files or mapped records, then import again as needed. Check that the key client, worker and visit details arrived as expected before relying on the new database.

  4. 4

Run both systems side by side

Keep CarelinkPlus and Home Care in use side by side for a short period. Check that clients, agreements, workers, visits, notes, incidents and payment requests are represented as expected, and resolve differences before staff rely on the new record. Check the reports your organisation submits too. The free version is written around NDIS rules, not aged care and DSS program reporting.

  5. 5

    Switch off CarelinkPlus

Once you are satisfied the records and daily process are working in Home Care, make it the place staff use for new work and stop entering new records in CarelinkPlus. Keep the old system available during the side by side check. Switch it off only after you have checked the records and any reporting your organisation depends on.

Where the real effort goes

Most of the work is not loading files. It is mapping your own fields and rules to the new database, deciding how much client, worker and visit history to bring, and checking what your required reports need. If Enterprise DNA runs the system for you, they do the mapping and test run with you. Aged care and DSS reports need scoping before you switch.

Questions

Instead of CarelinkPlus, answered

CarelinkPlus has hundreds of modules. How can a database do the same job? expand_more

The free version holds the core records: clients, agreements, the roster, notes, incidents and claims. Anything else your organisation relies on is something we scope and build into your version, so you keep what you use and stop paying for what you do not.

How do we get our records out of CarelinkPlus? expand_more

Civica does not publish a bulk export guide. Its built-in reports are one route out, and you can also ask Civica for your data. Those files use different columns from the free version's import, so we map them and do a test run when we build your version.

We report to CHSP, Home Care Packages and DEX as well as the NDIS. Is that covered? expand_more

Not in the free version today: it is written around the NDIS rules. Program reporting for aged care and DSS funding is a real gap, so tell us which reports you submit and we build them into your version before you switch.

Our workers use CarelinkGo in the field. What do they use instead? expand_more

The free version has no worker phone app. When Enterprise DNA builds your version, a worker app for visits and notes, or simple web screens, can be part of it. Some providers keep field reporting as it is for a while and move the records and the money first.

Is it compliant with the NDIS rules? expand_more

It enforces the record keeping the rules describe: screening before rostering, notes before claiming, price limits held at the agreement, incident notification before closure, and no deletions. Each rule names its source. Whether an incident is reportable stays your call, and none of this is legal advice.
