Instead of CareMaster

Stop paying CareMaster for every login. Own your care provider system.

We shape your version around the supports you deliver and how your rostering team works, carry your CareMaster participants, staff and support history across from its Excel exports, and look after it for you.

CareMaster lists Essential at $16, Standard at $26 and Premium at $36 per user per month, plus GST, and counts admins and managers as users.

How the CareMaster invoice is built

A licence per person, a tier per size, and add-ons by the month

CareMaster sorts providers into plans by how many users they have, then charges each of those users every month. The features a growing provider reaches for sit in the higher plans, and three monthly add-ons are listed beside them.

badge

The office counts as users too

Admin users and managers are included in the licence count, so the person who builds the roster is billed like the people on it. On Premium that is $36 a month each, or $432 a year, plus GST.

stairs

Plans sized by your user count

Essential suits small providers, Standard is pitched at 5 to 50 users and Premium at 50 and over. As the team grows, the plan the vendor expects you on moves up with it.

elderly

Aged care features start at Standard

Aged care features, vehicle management and payroll support are listed from the Standard plan at $26 per user per month, not in Essential.

tune

Your own fields and reports cost the top plan

Custom fields and custom reports, along with document management, are listed under Premium. Recording something the vendor did not plan for means paying the highest per user price.

add_card

Monthly add-ons on top

SCHADS award interpretation is $155 a month, DSS DEX reporting is $155 a month and platform hosting is listed at $135 a month, each a separate line next to the licences.

cloud

Your history on their platform

CareMaster hosts in Australia with daily backups, which is sound. The participant files, case notes and support history still live on its platform, and getting them out means queued Excel reports.

What your organisation gets instead

One record of the care you deliver, owned outright

Shifts

Bookings that check the paperwork first

The rules are applied when a support is booked, so problems never reach the roster in the first place.

  • check A worker whose NDIS Worker Screening clearance has expired by the support date cannot be booked
  • check A support cannot be booked outside a signed service agreement that is in date
  • check One worker cannot be placed at two supports at the same time
  • check Late cancellations keep their notice period, so whether they can be claimed follows the rule

Claiming

Every finished support turned into money

Coordinators see each morning which delivered supports still have nothing claimed against them.

  • check Completed supports with a case note and no payment request, oldest at the top
  • check Payment requests priced at the participant's agreement rate, so nothing above the price limit can be raised
  • check The bulk payment request file prepared for someone on your team to upload
  • check Rejected requests keep their reason and stay visible until they go back in

Records

Evidence that is complete before anyone asks

The rules the system checks are written out with where they come from, and the firmest ones block the record until it is right.

  • check A support cannot be marked done without its progress note
  • check A reportable incident stays open until the Commission notification is on file
  • check A single check lists every breach next to the rule and its source
  • check Records are never deleted: participants exit, staff become former, claims are kept for 7 years

Yours

Your fields and reports without a top plan

What CareMaster lists under Premium is a request in plain words here, at any team size.

  • check Add a field, a support item or a rule by describing what you want
  • check Ask any question across participants, staff, supports and claims, not just the built-in reports
  • check Budgets tracked against pace for every agreement, so under-spend shows before the plan review
  • check Open source under the MIT licence, with no user count and nothing to cancel

Switching

How to switch from CareMaster

The move involves exporting your records, mapping CareMaster’s columns, checking the imported data and running both systems side by side before you switch.

  1. 1

    Export your CareMaster records

Use CareMaster’s help centre instructions to export participant, staff, support transaction and case note data as Excel reports. These are the record types the documented export covers. If an export option is not available in your account, check with CareMaster about how to get that data out before you begin the move.

  2. 2

Map fields and set up agreements

CareMaster’s export columns differ from the layout the free version imports, so match each exported field to the right place in the new records. Review your service agreements and set them up in the new system from the information you hold. Decide which shift history and other records you want to bring across before loading data.

  3. 3

Test the import, then load records

Use the import’s test run first to see how the records will be brought in. Check the proposed matches and address any obvious gaps before loading the data. When the test looks right, import the records you have prepared. Keep your CareMaster records available while you check the result, rather than treating the first load as final.

  4. 4

    Review and resolve import flags

Read the issues the import identifies and follow each one back to the source record. The import can make gaps visible, such as a shift without a covering agreement or a client whose funding type is missing. Correct the source information or complete the missing details in the new system, then check the affected records again before relying on them.

  5. 5

    Run both, then switch over

Keep CareMaster and the new system running side by side for a short period. Compare the records and day to day work you rely on, including rosters, notes and claims, and make sure staff know which system is the source of truth for each task. Once you are satisfied the new records are ready and the move is complete, switch off CareMaster.

construction

Where the real effort goes

The main work is usually matching your own fields and rules to the new system, then deciding how much history to bring across. CareMaster’s export columns need mapping, and service agreements need to be set up from the information you hold. If Enterprise DNA installs and runs your version, Enterprise DNA does the mapping and a test run as part of the build.

Questions

Instead of CareMaster, answered

CareMaster's entry plan is cheap. Why would we change? expand_more

Essential is $16 per user per month plus GST, but every admin and manager counts as a user, and aged care features, custom reports and document management are listed in the dearer plans. Your own version has no user count and no plan to climb, and what it records is decided by you.

How do we get our records out of CareMaster? expand_more

CareMaster's help centre shows how to export participant, staff, support and case note data as Excel reports. The free version imports a different system's layout, so those files need their columns mapped first. We do the mapping and a test run when we build your version, or you can ask Claude Code to do it.

Our workers and participants use the CareMaster apps. What replaces them? expand_more

The free version has no phone app today. When Enterprise DNA builds your version, a support worker app for shifts and notes, or web screens, can be part of the build.

We deliver aged care as well as NDIS supports. Does it cover both? expand_more

The free version is written around the NDIS rules. Aged care funding and reporting rules are not in it today, so raise them with us before you switch.

Is it compliant with the NDIS rules? expand_more

It enforces the record keeping the rules describe: screening before booking, notes before claiming, price limits held at the agreement, incident notification before closure, nothing deleted. Every rule names its source. Whether an incident is reportable is still your call, and none of this is legal advice.
