Switching

How to switch from ConsignCloud

A move involves exporting an opening snapshot of accounts and inventory, checking how the records map, reconciling balances and running both systems side by side before you switch.

  1. 1

    Export accounts and inventory

ConsignCloud Classic exports Excel sheets with selectable columns. Export your accounts and inventory, then save the sheets as CSV. Check that the columns you need are included and that the headings are clear. If your account uses a different version or does not offer this export path, check with ConsignCloud and export what your account allows, usually CSV or Excel.

  2. 2

    Test the import

Load the accounts and inventory into a fresh database using the import's test run first. It checks the column mapping without completing the import, so you can see whether your headings line up with the new records. Adjust the mapping before importing for real. Keep in mind that this brings an opening snapshot, not a full history of every sale.

  3. 3

    Review flags and balances

Review what the import flags, including records with columns that need attention. Check the imported accounts and inventory against ConsignCloud, then reconcile opening balances before you switch. Opening credit is brought in separately from sales recorded after cutover. Historical sales, photos, signed documents and statutory records need separate migration work, so decide what history you need before proceeding.

  4. 4

    Run both systems briefly

Keep ConsignCloud running while you use the new database for a short period. Compare the inventory and consignor balances, and confirm that your team can record the work the new system covers. Continue using your existing till and payment processor. Record sales and payments in the new database only after they have happened outside it, and check the resulting balances against your records.

  5. 5

    Switch off ConsignCloud

Once you have checked the imported records and reconciled opening balances, stop using ConsignCloud for the records you have moved. Keep your till, payment processor and any legally required dealer record system in place. The new database handles the consignor desk, not payments or statutory records, and the import does not create historical sales or statutory records for you.

Where the real effort goes

The main work is usually mapping your own columns, fields and agreement rules, then deciding how much history to bring. The standard import covers an opening snapshot of accounts and inventory. Historical sales, photos and signed documents need separate migration work. If you have Enterprise DNA install and run it for you, they handle the export mapping and migration work as part of the agreed setup.

Questions

Instead of ConsignCloud, answered

Is this a replacement for our whole till? expand_more

The free version runs the consignor desk: stock, splits, expiry decisions and recorded balances. Keep your till and payment processor. We scope selling screens, live connections and consignor access around the way your store works.

Can we bring our ConsignCloud history? expand_more

Bring an opening snapshot of accounts and inventory. ConsignCloud Classic exports spreadsheets with selectable columns, so the headings need checking and mapping. Reconcile opening balances before switching. Historical sales, photos and signed documents need separate migration work.

What happens when a sold item comes back? expand_more

A recorded full refund reverses the consignor share from that sale. If the consignor has already been paid, the balance can become negative and appears for review. Partial refunds and special fee rules are part of customising your version.

Does it cover second-hand dealer obligations? expand_more

It flags missing agreement, identity and dealer-record references. Keep the required statutory records and local checks in place. In NSW, retain your approved dealer system and required Police reporting. We scope connections around those obligations.

What would Enterprise DNA charge? expand_more

A setup fee, then a retainer for the agreed ongoing work. Sam reviews your stores, records and connections before proposing the scope. The free version remains yours to run and change.
