The plans
What eBECAS charges
eBECAS charges by concurrent administrative licence, with separate rates for its language and vocational packages. The advertised monthly rates are billed annually and assume a college running 30 licences, before GST, provisioning, training or add-ons are added.
Language Basic
A$93 per concurrent admin licence per month
Billed annually at the advertised 30-licence rate, before GST.
Language PLUS
A$105 per concurrent admin licence per month
Includes API access and the Power BI connection on top of Basic.
Vocational Basic
A$114 per concurrent admin user per month
Separate vocational package rate, billed annually at 30 licences.
Vocational PLUS
A$127 per concurrent admin user per month
Higher vocational tier, same 30-licence assumption and annual billing.
Provisioning
A$2,000 once
One-off setup charge listed separately from the recurring licence rate.
How the bill is built
Priced per concurrent admin licence
eBECAS bills by how many staff can be logged in to admin functions at once, not by total staff or students. The advertised rate assumes 30 licences, so a smaller or larger college gets a different quote entirely.
Package sets the base rate
Choosing language or vocational changes the Basic and PLUS figures you start from. PLUS adds API access and the Power BI connection, so moving up a tier changes the licence rate you pay every year.
Setup and training billed separately
A$2,000 provisioning is charged once, outside the licence fee. Personalised training is A$200 an hour on top. Neither shows up in the headline monthly rate advertised on the pricing page.
Portals and sandbox as add-ons
Online portals come included once you hold five or more licences, otherwise the separate add-on is A$169 a month. A test environment is another A$199 a month in the first year, with stated limits.
A year of eBECAS
What one licence costs across a year
At the advertised language rates, one concurrent administrative licence comes to A$1,116 a year on Basic or A$1,260 a year on PLUS, before GST. That figure is per licence, not a whole-college quote, since the published rate assumes 30 licences. Add the A$2,000 provisioning fee once, plus any portal, sandbox or training charges, and the true first-year bill rises further.
Underneath the bill
What you are really paying for
Access measured in concurrent seats
You pay by how many staff can be logged into admin functions at the same moment, not by what your college actually needs day to day. Add staff or open a new campus and the licence count, and the bill, moves with it.
Features held back on the higher tier
API access and the Power BI connection sit behind PLUS rather than in the base package. Portals, a sandbox environment and training are all billed as separate add-ons rather than part of one settled fee.
A quote built on someone else's assumption
The advertised A$93 to A$127 rates are set at 30 licences. A smaller team or a larger one gets a different number from the vendor, so the headline figure on the pricing page is not the number most colleges will actually pay.
The owned alternative
Your own version, built once, run for you
Enterprise DNA builds your college its own version of International College for Claude Code around how your admissions, attendance and support actually work, brings your eBECAS records across, and runs it for you. You pay one setup fee, then a monthly retainer, with no per-licence charges as staff numbers change. There is also a free version an owner can run themselves, starting with students, courses, intakes and fees mapped from your own exports.

Questions
eBECAS pricing, answered
Does the eBECAS price change as our college grows? expand_more
Yes. The advertised rates assume 30 concurrent administrative licences. A college with fewer or more licences than that gets a different quote, since eBECAS bills per licence rather than a flat college-wide fee. Ask for your own quote at your actual licence count.
What extra costs come with an eBECAS quote? expand_more
Beyond the monthly licence rate, eBECAS lists A$2,000 for provisioning once, A$200 an hour for training, a portal add-on at A$169 a month if you hold under five licences, and a sandbox environment at A$199 a month in the first year with limits.
How does paying Enterprise DNA compare to paying for eBECAS licences? expand_more
Enterprise DNA has no per-licence plan. You pay one setup fee for your version, then a monthly retainer, regardless of how many staff log in. eBECAS charges per concurrent admin licence, so its bill moves as your staff count changes.
