Active adults determine the plan
Elvanto counts adults who attend, volunteer or give. The monthly plans shown for 50 and 100 adults cost A$19 and A$39 respectively.
A continuing subscription
At monthly billing, those two plans total A$228 and A$468 over a year. Annual billing has a different rate.
Setup assistance
The A$149 setup charge includes help migrating records into Elvanto.
Service planning and volunteers
The subscription includes worship planning and volunteer scheduling. Your replacement needs the process your coordinator actually uses.
Support and upgrades
Elvanto includes support and upgrades. When you own the system, agree who maintains it and responds when the office needs help.
People and giving exports
Elvanto documents a people report and a separate giving export. Moving the people list is one part of a reviewed switch.

Switching
How to switch from Elvanto
How long this takes depends less on the software and more on how much history you decide to bring across, since names and contacts move in one import but giving, groups, attendance and attachments need their own reviewed mapping first.

Export your people from Elvanto
Elvanto exports a Standard Report people CSV with Member ID, following Elvanto's own export instructions for your account type. Export what your account allows, usually CSV or Excel, and check the export screen or Elvanto support if your report options look different. This file is what the import reads, so keep the Member ID column and hold onto the original export as a backup.

Load the file in with a test run
Load the export using the import's built-in test run before anything is saved. It reads the Member ID, brings across names and contact details, checks for duplicates against what is already in the database, and keeps every original column from your export for later reference. Nothing is written until you confirm the test run looks right.

Check what the import flags
Look through what the test run reports back. Records that match an existing person exactly are skipped, records that appear changed are set aside for someone to review by hand, and a bad batch rolls back completely rather than loading half a file. Also check contact permission, which is never assumed, and review child classification and status before relying on any record.

Run both systems side by side
For a short period, keep Elvanto running as it is while the new database takes over day to day entry. Enter the same week's rosters, attendance and giving in both places and compare the results. This is where you catch a mapping gap, such as a home group or fund that didn't come across, before you rely on the new records alone.

Switch off Elvanto
Once a full cycle has run clean in both systems and you're confident nothing is missing, cancel the Elvanto subscription. Keep your original export and a database backup rather than relying on Elvanto's records once the account closes. Giving, relationships, attendance history and attachments that needed separate reviewed mapping should already be checked off before this step.
