Your gear list, your customers and every order you have written belong to you. What the subscription sells is the screen in front of them, cut into plans, and paid for a year at a time.

Switching

How to switch from EZRentOut

The move is mostly exporting what EZRentOut will give you, matching it to the new records, and running the two side by side for a while before you let EZRentOut go, usually timed to hit the end of your annual term rather than cutting it short.

    Export your records from EZRentOut

    EZRentOut's canned reports export your items, customers and orders as CSV. Pull those three reports before doing anything else, so you have the full fleet and customer list, not just what is on hire today. If a report only offers PDF, use CSV wherever the account allows it and check with EZRentOut on the rest.

    Load the files in, with a test run first

    Bringing records in means matching your spreadsheet columns to the new system's fields, which is a mapping step before anything actually loads. Run it first as a test, which shows what would be created without changing anything. Once that looks right, run it for real. Enterprise DNA does this mapping and both runs when it builds your version.

    Check what the import flags

    Certificates, meters and open damage do not come across on purpose. EZRentOut saying a test tag was current is not proof it still is. Walk the yard once with the actual stickers in front of you and record what you find. The compliance check then lists exactly what is still unverified, and most yards find at least one surprise on that walk.

    Run both systems side by side

    Keep EZRentOut live while the new version handles real bookings alongside it. This is where you catch anything the mapping missed and let the desk get comfortable working from the new records before it becomes the only copy. Time this for the last month or two of their EZRentOut term, since the plan is billed annually.

    Let EZRentOut lapse at renewal

    EZRentOut does not refund partway through a term, so cancelling early buys you nothing. Once the side-by-side run has gone well, stop entering new bookings in EZRentOut and let the subscription end at its renewal date rather than paying for another year you will not be using.

Where the real effort goes

The real work is not the export, it is mapping your rates, categories and rules onto the new records, and deciding how much history to bring across versus starting clean with current fleet and open contracts only. Certificates and meters need a physical walk of the yard regardless of what the old system said. Enterprise DNA does this mapping and the walk-through check when it builds and runs your version.

I am part way through an annual EZRentOut plan. When should I switch? expand_more

EZRentOut bills its plans annually and its pricing page says it does not refund. Plan the move for the last month or two of the term: build your version, run it beside EZRentOut, and let the plan lapse at renewal rather than paying for another year.

Can my EZRentOut records come across? expand_more

Yes, with some mapping. EZRentOut exports its reports to CSV, so your items, customers and orders come out as spreadsheets. The free version's importer is built for a different system's layout, so those columns need matching up first. When Enterprise DNA builds your version, that mapping is part of the job, and a test run shows what would be created before anything changes.

EZRentOut has a webstore and a mobile app. What happens to those? expand_more

The free version has neither: the desk works from a laptop and the runsheet prints. If customers book online, Enterprise DNA can build a web front end into your version, linked to the same records. If drivers need a phone app at the site, keep one for the trucks and use this for the desk.

Does it work with Xero or QuickBooks? expand_more

The free version drafts invoices in your branding and you send and reconcile them in the accounting system you already use. It does not replace your ledger. When Enterprise DNA builds your version, a direct link to Xero or QuickBooks can be added, whichever you run.

We run two depots. Is that a different price? expand_more

No. A second depot can be added to the same database, and there is no plan tier to move up to. With EZRentOut, support for multiple sites is part of Enterprise, which is quoted by sales. With your own version, Enterprise DNA charges one setup fee and then a monthly retainer, whatever the number of yards.
