Instead of HirePOS
Stop renting HirePOS. Own your hire management system.
Enterprise DNA sets up your own hire system around how your counter quotes, your yard prepares and your trucks deliver, moves your HirePOS items, customers and history across, and runs it for you month to month.
HirePOS publishes A$109 a month for the first user (A$1,308 a year), then A$49 a month for each extra user and A$15 a month for each driver, dispatch or signature pad login. Branches and API access are A$15 a month each and the online store A$64 a month, all GST inclusive.

Where the monthly bill grows
A HirePOS invoice is a head count
The A$109 base covers one person. After that the price follows your roster: each new person at the counter, each driver with a login, switching on branches or a connection to another app adds a monthly charge.
A$49 for every extra person at the desk
The base price includes one admin, general or front-counter user. A second person answering the phone in the busy season is another A$49 a month for as long as they have a login.
Drivers and dispatch logins cost too
Delivery and pickup only, dispatch only and signature pad only logins are restricted users at A$15 a month each. A fleet of drivers who only need today's runs still adds one charge per driver.
A second depot is a switch you pay for
Running stock across more than one location needs Branches enabled, a further A$15 a month on top of the users at each site.
Connecting other software is an add-on
API and Zapier access is A$15 a month to switch on.
Online bookings are A$64 a month more
Letting customers book from your website needs the online store, the largest add-on on the price list at A$64 a month.
Paid in advance, the month is gone
Subscriptions are paid monthly in advance and the current month is non-refundable. There is no lock-in, but the meter starts again every month you stay.
What you get instead
One hire system, as many people as you employ
Front counter
Answer the phone without guessing
Ask what can go out on a date and get each item with its rate, the next job already booked against it, and anything in the yard that is held back, with the reason.
- check Free stock by category with the job it is promised to next
- check Held items named plainly: failed check, expired test tag, overdue service
- check A booking is refused if the gear is committed or the customer is on stop
- check The whole counter can ask at once, with no extra user to buy
Yard and trucks
Today's runs, and what has not come back
The day's deliveries and pickups come out as a printed runsheet, and every hire past its end date shows with the days over and what each line has run up.
- check Deliveries and collections for the day in one list
- check Late hires listed by customer and site, with the charge accrued beside each
- check Off-hired gear still sitting on a site, flagged until it is picked up
- check Drivers ring the desk or read the runsheet; no driver login to pay for
Workshop
Service, tags and inspections against the law
Every machine carries its service interval, its test tag date and its periodic inspection, and a compliance check runs six cited rules against your records.
- check Electrical gear tracked on the AS/NZS 3760 test and tag cycle
- check Items overdue for service flagged, including those out on hire
- check Machines that cost more in repairs than they earned last year, listed
- check Gear idle for 90 days, with the capital it ties up
Yours to change
Your rules, your depots, your paperwork
Plain records in a database you own. Rates, depots and paperwork change when you ask for the change, not when you switch on an add-on.
- check Day rates, the weekly cap and the free return day written as your own rules
- check A second depot is a field on the record, not a monthly fee
- check Hire agreements and invoices rendered with your logo and colours
- check Your records reachable by any tool you connect, with no access fee

Switching
How to switch from HirePOS
A move usually involves exporting the records HirePOS makes available, mapping its columns, testing the import, then checking both systems side by side before you cancel.
- 1
Export your records
In HirePOS, use Options > Export CSV File under Setup for items, customers and suppliers. Use the CSV button on the reports you need for other available records, including current hires and booking details if your account exposes them there. Export what your account allows, and check with HirePOS if you are unsure which report contains a record you need.
- 2
Map and test the import
The free import was written for another hire system, so HirePOS columns need mapping first. Have the fields matched to the new database, then run the test import before saving anything. The test shows what it would create, giving you a chance to correct the mapping before records are added.
- 3
Review the test results
Check which records would be created and whether key customer, fleet and contract details have mapped as intended. Review anything the import flags or leaves out, and resolve gaps before saving. Confirm the details you rely on for current hires and invoicing rather than assuming every HirePOS field transfers unchanged.
- 4
Run both systems side by side
Keep HirePOS running while you use the new system for a few weeks. Check that the bookings and invoices agree between the two systems, and resolve differences before you rely on the new records. This gives you time to verify the move while you still have access to the HirePOS data.
- 5
Switch off HirePOS
Once the records and checks are in order, cancel HirePOS before the next monthly charge. HirePOS has no lock-in, but it bills monthly in advance and the current month is not refunded. Starting the move early in a billing month gives you time to run both systems and check the results before deciding to cancel.
Where the real effort goes
Most of the work is mapping your own fields and rules, then deciding how much history to bring across and checking that the important records are right. HirePOS columns do not line up automatically with the free import. If you have Enterprise DNA install and run your version, they handle the field mapping as part of setup.

Questions
Instead of HirePOS, answered
HirePOS already does test and tag and maintenance. Why move? expand_more
It does, and it is included in the HirePOS base price. The reason to move is not a missing feature but who owns the system and what each extra person costs. Here the servicing, tags and inspections sit in your own database next to the hires, the rules each check runs are written down with their sources, and you can change any of them.
How do my HirePOS records get out? expand_more
HirePOS has CSV exports for items, customers and suppliers under Setup, and a CSV button on nearly every report. The free version's importer was written for a different hire system's files, so HirePOS columns need mapping first. Enterprise DNA does that mapping as part of the setup, and a test import shows what it would create before anything is saved.
My drivers sign customers off on a tablet. What happens to that? expand_more
The free version does not capture signatures on site; the runsheet prints and the desk records the return. When Enterprise DNA builds your version, a driver app with signatures and photos can be added, and it is your app, with no charge per driver.
When should we switch? expand_more
HirePOS is paid monthly in advance with no lock-in, and the current month is not refunded. Start the move early in a billing month, run both side by side for a few weeks, check the bookings and invoices agree, then cancel before the next month is charged.
Does it send invoices to Xero or MYOB? expand_more
The free version drafts invoices from the hires and a person sends them, and your accounting system keeps the books. When Enterprise DNA builds your version, a direct connection to your accounting system can be added so drafted invoices land where you already work.
Hire more people, not more logins
30 minutes with Sam. We go through your HirePOS user count and add-ons, what your counter and yard really use, and what your own version would hold. If it fits, we build it and move your records across between billing months. If it does not, the free version is yours to keep.
