Instead of Instrumentl

Stop renting Instrumentl. Own your grant operations.

We build your version around how you apply, track restricted funding and report to funders. We bring your Instrumentl records across and run the agreed system for you.

Instrumentl Full Lifecycle lists US$999 a month paid upfront annually, or US$11,988 a year. Monthly billing is US$1,159 a month. These are vendor plan prices, not a quote for your organisation.

Your grant work, your records

A grant desk shaped around the signed agreement

  • check Application dates and named owners
  • check Separate requested and awarded amounts
  • check An overdue queue that shows missing owners
  • check A draft application brief from the records already held

Award spending

See what remains after commitments

Keep actual spending and planned costs distinct, with each currency reported separately.

  • check Award balances beside planned commitments
  • check Category budgets with over-allocation flags
  • check A planned expense becomes an actual expense once
  • check A void preserves the original entry and explanation

Reporting evidence

Keep the gaps visible before an acquittal

Review the agreement, expenses and outcomes together before anyone submits a report.

  • check Missing receipt and agreement references
  • check Spending outside recorded award dates
  • check Reporting tasks that need completion evidence
  • check Draft acquittals with unresolved exceptions still visible

Your working rules

Change the questions as the grant changes

Your records can carry the fields, evidence checks and review reports your funders require.

  • check Source changes flagged without overwriting local decisions
  • check An activity history for corrections and reconciliations
  • check Your name and colours on internal working papers
  • check Custom questions across application, budget and evidence records

Switching

How to switch from Instrumentl

A move usually involves exporting the grant records you own, checking the import against your source records, and deciding what history and other Instrumentl services you still need.

  1. 1

    Export your grant records

Export the documented Opportunities report as a CSV, using the export path available in your Instrumentl account. It supplies grant names, projects, funders, owners, amounts, dates and the next task. If you need other records or export formats, check with Instrumentl about what your account can provide. Identify task history, financial transactions and attachments you may need to export separately.

  2. 2

    Test, then load the records

Test the Opportunities export without saving it first. Then load it into a fresh Grant Operations database, not one containing demo records. The import retains every source column and can be repeated. Keep your original export available as a reference while you check the imported records and decide which additional fields need mapping.

  3. 3

    Review import flags

Compare the imported opportunities with your export and source records. Review each reconciliation flag, especially flags for changed source records, and make explicit corrections with a note. A missing row in a later import does not delete a record. Check owners, amounts, dates and next tasks, and reconcile the actual export before you rely on the new records.

  4. 4

    Run both side by side

Keep Instrumentl available for a short period while you compare upcoming applications, award records and reporting deadlines with the new desk and your source documents. Check that your team can follow its regular review work and find the records and evidence it needs. The free desk does not include Instrumentl’s funder discovery, so agree how you will find opportunities and which services you will retain.

  5. 5

    Switch off Instrumentl

Once you have checked the records and agreed how to handle any separate exports, decide whether to stop using Instrumentl. Keep arrangements for any funder discovery, proposal editing or live accounting connections your team still needs. The free desk manages known applications and awards, but it does not replace those Instrumentl services or your accounting records.

construction

Where the real effort goes

The main work is usually mapping your own fields and award rules, then choosing how much history to bring. The documented Opportunities export covers core grant records, while task history, financial transactions and attachments need separate exports and an agreed plan. Enterprise DNA handles that mapping and migration work when you have them run the system.

Questions

Instead of Instrumentl, answered

Does this include Instrumentl’s funder discovery? expand_more

The free desk manages applications and awards you already know about. It does not reproduce Instrumentl’s discovery service. We agree how you will find opportunities and which services you will retain before planning the switch.

What comes across from our Instrumentl export? expand_more

The documented Opportunities report supplies grant names, projects, funders, owners, amounts, dates and the next task. Other exported fields are retained for later mapping. Full task history, financial transactions and attachments need separate exports and an agreed migration plan. We reconcile an actual export before switching.

Will it connect to our accounts and give the team a screen? expand_more

We scope those connections and screens for your version. The free base uses recorded budgets and expenses, with printable review reports. It does not move money or replace your accounting records. A shared installation includes the access controls and operating setup your organisation needs.

Can it follow our grant conditions and reporting dates? expand_more

Yes. Record the signed award’s restrictions, category budgets and required reports. The desk flags missing evidence, late reports and costs outside recorded dates. These are review prompts, not a legal opinion or proof that a cost qualifies. Your team checks the agreement and source evidence.

What does Enterprise DNA charge? expand_more

One setup fee for the agreed build, then a retainer to run it through Omni by Enterprise DNA. We scope migration, hosting, access, connections and ongoing support with you. The open-source base is free, with separate hosting and agent-usage costs.
