Switching

How to switch from NetSuite

Moving off NetSuite is mostly a data job: export what you have, load it into your own database, check it against NetSuite, then run both until the new numbers hold up on their own.

    Export your NetSuite records

    NetSuite exports saved-search results as CSV, or another format depending on what your account allows. Export the operational records you plan to bring across: customers, vendors, products, warehouses, orders, and the open purchase and sales lines that make up your opening order book. If you are not sure what your account can export, check with NetSuite support first.

    Load the file, test first

    Load the exported records into your new database, and run that load as a preview first so you can see what would happen before anything actually changes. Once the preview looks right, reconcile the counts and totals against NetSuite, then apply the load for real. Existing records stay protected, so running it again will not overwrite live work.

    Check what the import flags

    Look through anything the load points out: missing columns, unmatched references, or quantities and values that do not line up with NetSuite. Go through the opening balances line by line before you rely on the new numbers for anything. Keep the original history and attachments alongside the new records rather than leaving them behind.

    Run both systems side by side

    Keep NetSuite running for a short period while your team works day to day in the new database. Compare orders, stock and intercompany positions between the two. This is how you catch a mapping mistake or a missing record before anyone depends on the new system alone.

    Turn NetSuite off

    Once the numbers match and your team trusts the daily view in the new database, turn NetSuite off. Keep your export files and original records as an archive rather than deleting them. Your accountant keeps the ledger and statutory reporting either way, so nothing changes there.

Where the real effort goes

The real work is mapping your own fields, entities and rules onto the new records, and deciding how much order history to bring across rather than leave archived. The export and load steps are mechanical. The judgment calls, about your particular orders, screens and approvals, are not. Enterprise DNA handles that mapping and reconciliation work directly when they build and run your version.

The free base covers multi-entity orders, stock, fulfilment and operational reporting. It is not a full NetSuite or OneWorld replacement. Your accountant keeps the ledger and statutory reporting. We scope the connections, approvals and screens needed for your own version before agreeing a move.

What does NetSuite cost compared with this? expand_more

Can we bring our NetSuite records across? expand_more

Yes, for the supported operational records. NetSuite exports saved-search results as CSV. The free version needs the documented column labels and a checked opening order book. Your custom version includes mapping and reconciliation. Keep original history and attachments, test the move on a sample, and check quantities and money before switching.

How does it handle our NZ and Australian companies? expand_more

Each entity keeps its own warehouses, base currency and orders. Internal balances are matched by reference, currency and reciprocal company. The group review shows indicative conversions with dated rates and flags stale or missing rates. This operational view does not produce statutory consolidation or post accounting entries.

Can warehouse staff keep a screen or a scanner? expand_more

Yes. Enterprise DNA builds the phone, browser or scanner workflow you agree into your version. The free base already produces read-only views and draft paperwork. We work through who enters, approves and reviews each step before the team moves.
