What the invoice is made of

A Provet Cloud bill is a platform fee, a head count of vets and a list of extras

Core starts at US$249 a month for the platform with one vet included, and every further vet adds US$99. Multi-site practices move to Pro at US$299 a month plus US$129 per vet. That is US$2,988 a year in platform fees before a second vet is counted. The records underneath are owners, animals, appointments, consults and charges.

Switching

How to switch from Provet Cloud

Moving off Provet Cloud is mostly a data job: get your records out, load them in, check what the load flags, then run both systems side by side until you trust the new one.

    Export your records from Provet Cloud

    Start with the Clients and Patients screen: an extended search there exports to a spreadsheet file, and that covers your owners and animals. For consult history, vaccinations, invoices and stock, ask Provet Cloud what a full export of your account includes, and get it before you give any notice to end the contract.

  2. 2

    Load the records, test run first

    Loading Provet Cloud data means mapping its column headings to the ones this system expects, since Provet Cloud's export layout is different from what ships out of the box. Do a trial load first, using a copy of your file, so nothing is written to the real record until you have checked the mapping is right.

  3. 3

    Check what the import flags

    The import is the first audit of your own records, not just a technical step. An owner missing from the export, a patient with no microchip on file: all of it becomes visible the moment the load finishes. Read through what it flags before you trust the new record over the old one.

    Run both systems side by side

    Keep Provet Cloud running while you use the new system for real bookings, consults and invoicing for a short period. Compare the two day to day: the day sheet, the register, the unbilled work. This is how you catch anything the export missed or the mapping got wrong, before Provet Cloud is gone for good.

    Switch off Provet Cloud

    Once the record checks out and your team is working from the new system without needing to double back to Provet Cloud, cancel the subscription. Keep your exported files somewhere safe regardless. The record you now hold in your own database is the one you run the clinic from.

Where the real effort goes

The real work is mapping your own fields, price list and rules onto the record, and deciding how much consult and invoice history is worth bringing across rather than leaving in an archive. Provet Cloud's export layout differs from what the free version expects out of the box, so that mapping does not happen automatically. Enterprise DNA does this part when you have them install and run it for you.

Provet Cloud exports use different column names, and mapping them is part of the work when Enterprise DNA builds your version.

How do we get our records out of Provet Cloud? expand_more

Provet's help centre shows client and patient search results exporting to a spreadsheet file from the Clients and Patients screen. Start there for owners and animals. For consult history, vaccinations and invoices, ask Provet what a full export of your account includes before you give notice.

We only have two vets. Is this worth it? expand_more

Maybe not on price alone. On Core, two vets is the US$249 platform fee plus US$99 a month. The stronger reason is ownership: the record stays yours, and every change you want is a sentence, not a feature request. On the call we will tell you honestly if staying put makes more sense.

What about lab machines, imaging and online bookings? expand_more

The free version records what the clinic enters. It does not connect to lab analysers or take online bookings. When Enterprise DNA builds your version, those connections can be added for the equipment and suppliers you actually use.

Do our vets need to learn anything technical? expand_more

No. They ask questions in plain English, the way they would ask a colleague: who is overdue for a vaccination, what is still unbilled, whether the register reconciles. Enterprise DNA sets it up, and the answers come back as short, readable lists.
