Switching

How to switch from Raiser's Edge NXT

The move is a records export from Raiser's Edge NXT, a mapped import you preview before applying, and a period running both systems side by side until the totals reconcile.

    Export the records you need

    Pull your donor, gift, pledge, campaign, appeal, fund and relationship records out of Raiser's Edge NXT using whatever export the account allows, usually CSV or Excel. Raiser's Edge NXT exports are configurable, so check with Raiser's Edge NXT on the exact fields and formats available to your account before you start. Get this export complete first, since it is the raw material everything else is built from.

    Load it as a test run first

    Fundraising for Claude Code takes a prepared CSV bundle mapped to your exported records. Run the import as a preview first, without applying anything, so nothing is written to your database yet. This step exists so you can see what would happen and catch mapping problems on paper, before any donor record is actually touched.

    Check what the import flags

    The preview reconciles counts and totals by currency and type before anything applies. Look closely at what it flags: mismatched totals, records it cannot map, or source rows that have changed and will not simply overwrite. Sort these out before you apply anything. If any single row fails, the whole import rolls back, so you never end up with a partial load.

    Run both systems side by side

    Keep Raiser's Edge NXT running for a stretch while your team works from the new database day to day, checking that figures match and that ordinary fundraising work, pledge follow-ups, thank-you tracking, campaign totals, behaves as expected. Running the same import bundle again does not duplicate records, so you can re-check and re-run as many times as you need before committing fully.

    Switch off Raiser's Edge NXT

    Once totals reconcile and the team is comfortable working from the new database without falling back, cancel or let the Raiser's Edge NXT subscription lapse. Confirm first that anything needing a separately scoped mapping or archive, gift splits, soft credits, attachments, signed receipts, has already been handled, since these do not come across in the standard import.

Bring the actual quote and the workflows your charity uses. Blackbaud requests organisation-specific pricing on its public page. We scope your own version against those needs, with a setup fee then a retainer for our work. The open-source base is free; hosting and usage have their own costs.

Will our donor history and pledges come across? expand_more

The free version imports mapped donor, campaign, fund, appeal, pledge, gift, action and relationship exports. Raiser’s Edge exports are configurable, so we map the headings and reconcile the totals. Gift splits, soft credits, attachments and original signed receipts need a separately agreed migration or retained archive. Repeating the same supported import does not duplicate records.

Can we keep online donations and our payment provider? expand_more

Yes. The fundraising records can sit in your own database while donations continue through your chosen provider. We scope the connection to that provider in your custom installation, along with any donor forms, phone access or membership work you need.

Does it produce valid NZ or Australian tax receipts automatically? expand_more

It prepares draft receipt worksheets and flags missing recorded details. An authorised person verifies the charity’s eligibility, donor details and required wording before signing and issuing the final receipt. The free version does not issue receipts or decide a donor’s tax position. Non-cash gifts and benefits need specialist review.

Can our team change it without starting again? expand_more

Yes. Your fields, restrictions, donor stages and review documents can change with the charity. The free version includes weekly workflows and read-only review pages. We build the shared access, screens and connections your team needs as part of your version.
