Instead of Veeva Vault RIM
Stop renting Veeva Vault RIM. Own your registration register.
We build your version around your sponsor and registrant companies, your markets and your products, bring your Veeva Vault RIM registrations and your sales across and run it for you. Every registration keeps its renewal, its declarations and its label history.
Veeva publishes no price for Vault RIM. It is sold as a negotiated multi-year subscription, with implementation quoted on top.

What the subscription charges for
A pharmaceutical suite for a list of products, numbers and dates
Vault RIM is built for drug companies filing dossiers in dozens of countries, and sold as separate applications for registrations, submissions, publishing and the archive. A maker of supplements, vet products or cosmetics needs the first part: which products are registered where, what each registration costs to keep, and what falls due. That part should be yours.
A negotiated contract, never a price list
There is no published price. You learn the cost in a sales process, on a multi-year term.
Registrations and submissions sold apart
Tracking what you hold and tracking what you lodged are separate applications on the same platform.
An implementation project before day one
Setting it up is a services engagement of its own, quoted beside the subscription.
Every person who needs to look
Regulatory, quality, marketing and the managing director all need the same dates. A system priced per person leaves them asking one person.
Global depth for a local job
Most of what Australian and New Zealand makers face each year is a handful of regulators and a fixed calendar: renewals, levies, returns and declarations.
Your registration history in their cloud
An auditor, a buyer and a distributor all ask for it. Today it sits in a system you rent, and leaving means an export project.
Your own registration desk
Start with the dates each regulator sets
The APVMA
Renewals, levies and annual returns, product by product
Each agvet product carries the dates the APVMA sets, worked out from its end date and last year's sales.
- check Renewal due one month before the registration ends on 30 June, with the late window and the cut-off spelled out
- check Any product past 30 June with no renewal raised as ended, so nobody keeps selling it by mistake
- check Leviable value for each product by 31 October, drafted from last year's sales excluding GST and exports
- check The annual return of quantities before 30 November, and the levy invoice by 15 January
The TGA
The annual charge exemption, kept honest
Entries listed ahead of launch stay exempt only while they sell nothing and the declaration goes in every July.
- check A zero turnover declaration due between 1 and 22 July for every exempt entry with no sales
- check An exempt entry that sold raised the moment its sales are recorded, with the notification it needs
- check A zero turnover declaration refused for any entry that sold, so a false one never goes in
- check Annual charge invoices tracked to the day they are paid
AICIS and overseas
The business registration and every export market
Cosmetics and other industrial chemicals sit under one business registration, and export markets carry their own certificates.
- check AICIS renewal by 31 August, flagged if it went in late
- check The AICIS annual declaration by 30 November, with the reminder that your own business must submit it
- check New Zealand, Malaysia or any market with its certificate, conditions and expiry on the same calendar
- check One product shown across every market it is registered in
The pack and the regulator
Labels, submissions and conditions in one record
The label on shelf, the variation still waiting and the condition with a date all belong to the same registration.
- check Every label version with its approval date and the day it went on pack
- check A label on pack that is not the approved version raised the same day
- check Every submission with the days the regulator took, and the ones still waiting
- check A summary per registration for an auditor, a buyer's due diligence or a distributor

Questions answered from your registration register
These examples combine your own records across every regulator, market and holding company at once. They are not a claim that Veeva Vault RIM cannot produce a similar report.
Switching
How to switch from Veeva Vault RIM
A move usually involves exporting your registration records, mapping your fields, checking a test import, and comparing both registers before you stop using Veeva Vault RIM.
- 1
Export your registration records
Build a registration report in Veeva Vault RIM with each registration number, regulator, status, product, holder and dates. Export what your account allows, usually CSV or Excel, and check with Veeva Vault RIM if you are unsure. Download the Registration History Report as Excel and keep it with your records. Dossiers and archived documents stay in your document system.
- 2
Test the registration import
Use the registration report for a test run before loading records. The import supports a dry run, so you can check how the report headings map to the new register before anything is loaded. Review any rows or fields the test run flags, compare them with the Veeva report, and correct the mapping or source data before proceeding.
- 3
Load registrations and sales
Once the test looks right, load the registration records. Registration numbers remain as each regulator writes them. Bring sales across separately from your accounts, using the relevant accounts export. The imports are all or nothing and safe to repeat, but keep the original reports and exports available while you check the results.
- 4
Compare both registers
Keep Veeva Vault RIM and the new register running side by side for a short period. Compare the registration records and dates in both systems, and check that sales from your accounts appear as expected. Investigate any differences against the original reports before relying on the new register. Keep using Veeva as a reference during this check.
- 5
Switch off Veeva Vault RIM
After you have checked the records and sales and your team is ready to use the new register, stop using Veeva Vault RIM for this work. Keep the Registration History Report and your dossiers and archived documents in their existing locations. Check your Veeva agreement and make the arrangements needed to end or change your subscription.
Where the real effort goes
The main effort is usually mapping your own fields and rules, then deciding how much history to bring across. The registration report carries the listed registration details, while sales come from your accounts. Dossiers and archived documents stay in your document system, and the Registration History Report is kept with your records. If Enterprise DNA runs the system for you, they handle this setup and mapping work.

Questions
Instead of Veeva Vault RIM, answered
Does this replace everything Veeva Vault RIM does? expand_more
The free version covers the registration register: products, holders, every registration in every market, conditions, label versions, submissions and their outcomes, invoices, sales and the declarations the Australian regulators ask for each year. It does not build or publish dossiers and does not store documents. Those stay in your document system, with a reference on each record, or we connect the two when we build your version.
Can we trust the dates? expand_more
Each one is worked out from the registration's own dates and a rule written down with its source: the APVMA's renewal, levy and annual return guidance, the TGA's annual charge exemption scheme, and AICIS registration and annual declaration guidance. Your team sees the rule beside every date. It is a records check, not regulatory advice; your regulatory lead still decides what to lodge, renew or let go.
What happens to the registrations we already hold in Veeva Vault RIM? expand_more
They come across from a registration report your team builds in Vault and saves as a spreadsheet, with a test run first. Registration numbers stay as each regulator writes them. Sales come across from your accounts. Dossiers and archived documents stay where they are, and Vault's registration history report is kept with your records.
We sell in New Zealand and Asia too. What about those regulators? expand_more
The rules are records, not code. The free version ships with the APVMA, TGA and AICIS rules and holds any other market's registrations with their certificate expiry and conditions. A market's own renewal and reporting dates are added as a set of new rules with their sources, and that is part of what we set up when we build your version.
What do we pay Enterprise DNA? expand_more
The code is free. A version built and run for your business has one setup fee, then a retainer, with no charge per user or per registration. Sam reviews your current registrations, your markets and last year's declarations before agreeing the scope.
Own the register behind every product you sell
Take 30 minutes with Sam to go through your Veeva Vault RIM setup, your markets and last year's renewals and declarations. We map how your register runs and agree what your version needs before you change systems.
