Instead of VisiCase
Stop paying VisiCase for every login. Own your care management system.
We build your version around your funding programs, your roster rules and how your coordinators actually work, move your VisiCase records across, and look after it for you.
VisiCase Core starts from $25 per active user per month, covering NDIS only. Growth and Enterprise, which add aged care, Xero, payroll links and other funding programs, are priced by quote.

How the VisiCase invoice adds up
A monthly charge for each person who logs in, then a quote for the rest
VisiCase publishes one starting figure and quotes everything above it. What you pay depends on how many staff sign in each month and which funding programs and connections you need.
Any login makes a paying user
VisiCase counts an active user as any staff member or coordinator who logs in during the billing month. Core starts from $25 per active user a month, about $300 a year for each person who logs in every month, before you add a single program.
Aged care sits on a quoted plan
Core covers NDIS. Support at Home and aged care (CHSP and Residential) come with Growth, which has no published price, so a provider running both streams is negotiating rather than reading a price list.
Xero comes with Growth
The two-way Xero connection is listed under Growth. Core does not list it.
Payroll and open API on Enterprise
Payroll links to MYOB, Micropay and Aurion, HR connections and open API access are Enterprise features, and Enterprise is custom pricing.
TAC, DVA and state contracts cost a tier
Funding programs beyond NDIS and aged care, such as TAC, DVA and state contracts, unlock at Enterprise. A new contract can mean a new conversation about price.
Records you reach through their system
VisiCase has no lock-in contract, which counts in its favour. Your case history still sits on its platform, and its pages describe no self-serve export, so getting everything out runs through VisiCase.
What your organisation runs instead
One care record across every funding stream, held by you
Funding
Every agreement watched against its budget
Spend is tracked against each participant's agreement as shifts are delivered, not after a plan review.
- check Each agreement shows what has been used against what is left, and whether delivery is running behind
- check A shift cannot be booked outside a signed agreement that is in date
- check Claims are priced at the agreed rate, so nothing goes over the price limit
- check A new support item or rule is added by describing it, not by changing plans
Roster
Shifts that respect clearances and clashes
The roster refuses a booking that would break a rule, rather than reporting it later.
- check No booking for a worker whose screening clearance has lapsed by the shift date
- check No worker booked in two places at the same time
- check Late cancellations kept with their notice period so you know what can be claimed
- check Clearances due to expire before next week's roster shown on the attention list
Claims
Delivered care turned into money on time
Coordinators can see what was delivered and not yet claimed.
- check Completed shifts with a case note and no claim, oldest at the top
- check The bulk claim file prepared for a person to check and upload
- check Rejected claims kept in view with their reason until they go back in
- check A total of delivered care not yet claimed, with each shift listed by participant
Ownership
Headcount that never touches the software cost
Ten more coordinators changes your payroll, not what the system costs you.
- check No fee for each staff member who signs in
- check Nothing deleted: past participants and former staff stay on record for the seven years the rules require
- check Each compliance rule written down with the source it comes from
- check Free and open source, so there is no subscription to end

Switching
How to switch from VisiCase
A move usually involves requesting your records from VisiCase, mapping them into the database, checking import flags, then running both systems together before you stop using VisiCase.
- 1
Request your records
Ask VisiCase for the records your account can provide: participants, staff, service agreements and shifts. Its public pages do not describe a self-serve export, so check available formats and the export process with VisiCase. If you have access to its Enterprise plan, ask whether its open API is the right route.
- 2
Map and load the records
Have the files mapped to the fields the new database expects before loading them. The free version's importer expects a different system's layout, so VisiCase records need mapping. If the import path offers a test run, use it before loading live records. If Enterprise DNA runs your version, they request the files, map them and test the import against VisiCase. You use the database through Claude Code, not a web front end.
- 3
Check the import flags
Review what the import flags and resolve each issue before relying on the new records. For example, a shift with no covering service agreement or a client with no recorded funding type should be brought to your attention. Confirm that flagged information is corrected or accounted for, rather than treating the import as complete just because records loaded.
- 4
Run both systems together
Keep VisiCase running while you use the new system for a short period. Check your day-to-day records and upcoming work in both, and follow up on anything that differs or remains unresolved in the new database. This gives you time to catch mapping gaps and confirm that the records your team needs are in place before you stop using VisiCase.
- 5
Switch off VisiCase
Once you have checked the imported records and your team is ready to work from the new database, stop using VisiCase for day-to-day work. Make the change only after you have dealt with the import flags and checked any work that was still in progress during the side-by-side period.
Where the real effort goes
The main work is usually mapping your own fields and rules, then deciding how much history to bring across. VisiCase's public pages do not document a self-serve export, and its files will not match the free version's import layout, so allow time to request and prepare the records. When you have Enterprise DNA run your version, they request the files, map them and test the import against VisiCase.

Questions
Instead of VisiCase, answered
VisiCase includes data migration in onboarding. Why pay to move again? expand_more
Moving in is easy with most vendors. The question is what you pay every month after that: a charge for each staff member who logs in, and a quoted plan once you need aged care, Xero or payroll links. Your own version has no charge per person and no plan to move up to.
How do we get our records out of VisiCase? expand_more
VisiCase does not describe a self-serve export on its public pages, so start by asking it for your participants, staff, agreements and shifts as files. When we build your version we request those, map them across and do a test run against VisiCase before you switch. The free version imports a different system's layout, so mapping is always a step.
We run NDIS and aged care together. Does this cover both? expand_more
The free version is built around NDIS and home care records. When Enterprise DNA builds yours, we set up each funding program you deliver, with its own price list and rules, in the same database, so one participant can sit across both.
Our workers and families use the VisiCase apps. What happens to those? expand_more
The free version has no phone app today. A simple app for workers to see shifts and write notes, or a page for families, can be part of the version Enterprise DNA builds for you.
Does it keep us on the right side of the NDIS rules? expand_more
It holds the record keeping the rules describe: screening checked before a shift is booked, a note before a shift is claimed, rates held at the agreement, incidents not closed until the notification is recorded, and nothing deleted. Each rule cites its source. Judging whether an incident is reportable is still yours, and none of this is legal advice.
Find out what owning it would look like
30 minutes with Sam. Bring your last VisiCase invoice and a list of the funding programs you deliver. We count the people you pay for each month, look at which programs and connections you are paying a higher plan to get, and sketch your own version. If it fits, we build it and move your records across. If it does not, the free version is still yours.
