  • “Can you resend our BAS?” which is a retrieval request
  • “Here are the January bank statements” which may complete a missing-document chase

The agent should also detect urgency from dates, payroll timing, explicit deadlines, and known month-end milestones.

2. Extract action items and missing information

A client may send one email containing three requests. Humans often respond to the most obvious one and overlook the rest.

An AI agent can extract each action separately. It can identify entities such as employee names, account names, transaction periods, due dates, attachments, and stated approvals. It can then create one task or several linked tasks based on your firm’s rules.

If information is incomplete, the system shouldn’t guess. It should identify what is missing and prepare a plain-language request back to the client.

For example, a client who asks to add a contractor may need to provide an ABN, bank details, engagement status, payment terms, and the first payment date. The agent can send a checklist rather than forcing a bookkeeper to write the same email for the hundredth time.

3. Route work to the right person

  • Did it need action?

  • Could the system have safely drafted or automated part of the response?
