For most plumbing companies, truck inventory gets treated as a technician discipline issue.

The owner sees a van leave without a common fitting, valve, cartridge, or repair kit. The technician heads to the supply house. The job runs long. The customer gets frustrated. The next appointment moves. Then the owner tells the team to check their trucks more carefully.

That response rarely fixes the root problem.

A plumbing truck is a moving inventory location. It holds hundreds of items that are consumed at uneven rates across different job types. A technician might use three 1/2-inch ball valves in one day, then not touch that bin for two weeks. A tankless water heater repair can empty out parts that were fully stocked that morning. A truck may carry a part that another technician needs urgently, but nobody knows it until the crew is already at the counter.

For emergency calls, the difference is even sharper. A no-heat call, burst pipe, failed water heater, or sewer backup often cannot wait until the next delivery window. Knowing the truck stock position before you commit helps protect both your response time and your margin.

Minimum and maximum stock levels

The next capability is replenishment logic.

Every truck should not carry the same quantity of every item. A drain specialist may need far more couplings and cable-related consumables than a technician who focuses on water heaters. A senior service plumber might use more repair kits because they handle complex diagnostics. A new technician may be working on a narrower job mix.

The software needs minimum levels by truck and part. When stock drops below that level, it should flag the item for replenishment.

The exact numbers depend on your job mix, geography, supplier access, and technician skills. The goal is not perfect stock accuracy down to every washer. The goal is reliable availability for the parts that protect first-visit completion.

A stock alert by itself is not enough. Somebody has to act on it.

A technician should not be deciding on the fly whether a cheaper substitute will create a warranty issue. Give the team approved options in the workflow.

The cost of a supply-house trip is bigger than the receipt

A supply-house trip often gets dismissed as part of the trade. Some trips are unavoidable. A rare part, an unusual fixture, or a customer-selected product may need a special run.

The avoidable trips are the issue.

A technician who leaves a job for a part is not only losing drive time. The customer may be waiting in a home without water or heat. The next call may need to be moved. Dispatch has to juggle the schedule. The technician may return after the customer has left. If the job runs into the evening, overtime enters the picture.

For a standard service call, one unnecessary trip can turn a healthy job margin into a thin one. On larger repair and replacement work, it can threaten a full day of booked capacity.
