Two days before: ask for an active commitment

The two-day message is useful for larger work, longer travel distances, tenant access, or appointments booked more than a week in advance.

This is the point to ask a simple question: “Are we still good for Thursday?” The customer should be able to answer with a one-word reply or a tap.

If they don’t respond, don’t send three increasingly desperate messages. Trigger a measured escalation. A second text at a sensible time may be enough. For higher-value work, it can create a task for the office or prompt an outbound call.

A customer who can’t make the appointment is not the enemy. A customer who doesn’t tell you is the problem.

We have you scheduled tomorrow between 1pm and 3pm. Reply YES to confirm. Need to change it? Use this link and we’ll show the next available options.

The system shouldn’t show every open space in the calendar. It needs rules. For example:

  • Prioritise a route that already has jobs in that postcode.
  • Offer a deposit or cancellation policy for high-value booked work where appropriate.

Before you configure an agent, get specific about how your business wants it to behave.

Who can approve a reschedule for a high-value job? How far ahead can a customer cancel without a fee? Which service areas should receive same-day openings? What jobs require a licensed technician? What should happen when a customer does not respond after two messages?
