Most trades businesses don’t lose money because their technicians can’t do the work. They lose money in the gaps around the work.

A plumber finishes a hot water system replacement, takes a few photos, and promises to send the customer the options for a maintenance plan. Then the next emergency call comes in. The notes sit in a phone. The photos are not attached to the job. The maintenance option is never sent. The office calls twice to clarify what parts were used before the invoice can go out.

An HVAC technician gets home at 7:30 pm after a long day. When people hear “technician paperwork,” they often picture forms. Forms matter, but they are only one part of the workflow.

The real burden starts before the technician arrives and continues well after the job is complete.

Before the truck leaves

The office needs a clear job description, customer history, site access notes, asset details, urgency, and the right crew assignment. In many businesses, that information arrives through a mix of phone calls, voicemail, web forms, Facebook messages, texts, and conversations with the owner.

Look at the last 30 days and ask:

  • How many calls reached voicemail or were returned more than 15 minutes later?
