A CRM should capture work, not demand more work

The useful question isn’t, “Do we need a CRM?”

It is, “What information is currently getting lost, and how can we capture it without creating a manual process the team won’t sustain?”

For an HVAC business, the core record needs to answer practical questions:

  • Who called, texted, or emailed us?
  • What equipment do they have, and where is it located?
  • Is this an emergency, repair, install, quote, maintenance visit, or callback?
  • Who owns the next action?
  • Has an estimate been sent?
  • When was the customer last contacted?
