Every piece of ATO mail walks one pipeline: received, matched, checked, notified, filed. Claude Code reads each letter, matches it to the client, and registers it with the amounts and due dates on the record.

Switching
How to switch from ATOmate
The move itself is mostly exporting what you already have, doing one import step, and checking the register matches before you cancel anything, with the detail covered in the free version's own migration guide.

Export your records from ATOmate
Export your client list from your practice management system and the processed-documents report from ATOmate. If your account offers something different, export whatever it allows, usually CSV or Excel, and check the exact fields with ATOmate support before you start. This is the only data you need to bring the register across.

Run the import, dry run first
Do a test run first to see what would happen without saving anything, using your exported files for clients, documents and lodgments. Once that looks right, run it again for real to load everything in properly. If your export came from XPM, say so instead of ATOmate, or choose 'other' for anything else.

Check what the import flagged
The import shortens any TFN entry to its last three digits and tells you how many it dropped, so check that count against what you expected. Read the guide for the step by step on what maps across cleanly and what deliberately does not, and fix anything that looks wrong before you rely on the register.

Run both systems side by side
Keep ATOmate running while you work the new register for a short period. Compare the Inbox, Due list and Variances view against what ATOmate shows for the same clients and documents, and confirm the two agree before you commit to the new system as the record of truth.

Switch off ATOmate
Once the register matches and your team is working from the Inbox, Attention and Due views without going back to check ATOmate, cancel the ATOmate subscription. Keep your export files somewhere safe in case you need to re-check anything from the old system later.
Where the real effort goes
The mechanical part, the export and the import command, is quick. The real work is deciding which fields and rules from your practice actually matter, how much history to bring across, and how your document types and standards should read in the new system. Enterprise DNA does this part of the move when they install and run it for you.

How does the mail get in without an ATO connection? expand_more
However it reaches you now: the practice mail download from ATO Online, scans of paper letters, forwarded PDFs. Drop them into your inbox and the system reads each one, matches it to the client and registers it. A wired feed is a customisation Enterprise DNA builds with your own credentials, no ATO connection or credential lives in the free version.
Where do the tax file numbers go? expand_more
Nowhere. The database itself refuses to store more than the last three digits, imports truncate TFN columns on the way in and report the count, and the letters never carry one. The Privacy (Tax File Number) Rule 2015 is binding, and the safest TFN store is the one that does not exist.
Does it email my clients? expand_more
No, deliberately. Letters draft to a folder in your brand with the check attached, a person reads and sends them, and the register records that it happened. The day a wrong assessment letter goes out unread is the day the automation cost more than it saved.
