What you own instead

The records behind a well-run catering week

Bookings

Keep the promise attached to the event

Guest counts, deposits and instructions stay with the booking, so the captain can review the whole job.

  • check An event week with dates, locations and confirmed guest counts
  • check Stale enquiries with the last recorded contact date
  • check Unpaid deposits beside unfinished dietary reviews
  • check Event details alongside notes, receipts and food observations

Kitchen

Prep from the confirmed work

Give the kitchen portions and dietary instructions it can check against the actual event.

  • check Dish quantities for each confirmed event
  • check Shopping quantities from the ingredients already mapped to recipes
  • check Food lines with no recipe identified separately
  • check Recorded allergens and named dietary-review evidence

Delivery

Find the gaps before loading the van

A packing list and crew review show what still needs an owner.

  • check Required, packed and remaining counts for carriers and utensils
  • check A named person responsible for each packing item
  • check Crew shifts with overlapping assignments flagged
  • check Draft event orders, kitchen sheets and dispatch paperwork in your brand

Evidence

Keep unknowns visible

Missing costs and missing measurements need a decision. They do not become a reassuring total.

  • check Event margins withheld when a line cost is missing
  • check Balances calculated from event charges and recorded receipts
  • check Australian food records screened against cited temperature guidance
  • check New Zealand records marked for review against your registered food control plan

Switching

How to switch from Better Cater

A move involves requesting structured records, matching clients, mapping event data, checking the import and reconciling history that needs separate handling.

  1. 1

    Request your records

Ask Better Cater what structured data your account allows you to export, usually CSV or Excel, and check directly with them. Their public help documents PDF reports, and a standard spreadsheet export has not been verified. Request client and event information first. Menus, financial details and other history may need separate mapping and reconciliation, so ask what can be supplied for those records too.

  2. 2

    Match and map the data

Before loading event records, match your Better Cater clients to the client records in Catering for Claude Code. Then map the event headings in the data you received to the fields the importer expects. Decide which history you need to bring over, including menus and financial details, and agree how each part will be handled. The importer is for mapped event headers after clients are matched.

  3. 3

    Test, then load records

Run the import's test option first to see how the prepared event data will be handled without loading it as live records. Review the test output and correct mapping or matching issues before proceeding. When the test looks right, load the agreed event records. Treat menus, financial details, receipts, safety history, documents and signatures as separate work, since they need their own mapping and reconciliation.

  4. 4

    Review and reconcile

Check the import results and work through anything the import flags before relying on the new records. Compare the imported events and client links with the records you supplied, and resolve missing or unclear information. Reconcile any separately mapped history, especially financial details and menus, against the source records. Keep a note of records that were not imported so you know what still needs attention.

  5. 5

    Run both, then switch

Keep Better Cater available while you use Catering for Claude Code for a short period. Compare the records and workflows your team relies on, and correct any remaining gaps before you make the new system your working source. Once the agreed records are checked and your team is ready to use the new setup, switch off Better Cater. Keep any records you still need according to your business requirements.

Where the real effort goes

The real work is usually mapping your own fields and rules, matching clients, and deciding which history to bring across. Event headers can be imported after clients are matched, but menus, financial details and other records need separate mapping and reconciliation. If Enterprise DNA runs the setup for you, it handles the agreed migration and mapping as part of your version.

Questions

Instead of Better Cater, answered

Why change if Better Cater already handles our events? expand_more

Change when ownership and your own process matter enough to justify the work. The free version combines booking, kitchen, money and evidence checks you can adapt. Bring your current workflow to the call so we can judge the fit.

Does our Better Cater history come straight across? expand_more

Its public help documents PDF reports. We have not verified a standard spreadsheet export. Ask for structured data first; the free version imports mapped event headers after clients are matched. Menus, financial details and other history need separate mapping and reconciliation. We handle the agreed migration in your version.

What does the free version cost to operate? expand_more

The code is free under an open-source licence. You pay for your chosen hosting and assistant subscription and take responsibility for setup, backups and access. Enterprise DNA offers a setup fee and then a retainer for customisation and operation.

Does it certify food safety or decide an allergy is safe? expand_more

No. It flags missing or out-of-range recorded evidence. A trained operator checks the ingredients, handling and applicable food control plan. New Zealand records stay marked for plan review. We build your agreed procedures into your version.

Can we keep mobile entry, signatures and our other connections? expand_more

We scope the screens, signature workflow and connections your team needs as part of your version. The free base produces draft paperwork and read-only views. Bring the workflows you rely on so the changeover plan covers them.
