Instead of BlackLine

Stop renting BlackLine. Own your month-end close.

We build your version around the checklist and reconciliations your team already runs, bring your BlackLine accounts, owners and tasks across, and run it for you. Your ledger stays where it is.

BlackLine quotes every contract. Buyer contract data puts the average around US$77,000 a year, before implementation.

What the subscription covers

A close platform priced by the module

BlackLine does not publish prices. Here is what buyers report paying for, and what most New Zealand and Australian finance teams actually use at month end.

request_quote

Quoted, never listed

There is no price page. Buyer contract data puts the average around US$77,000 a year, from roughly US$17,500 to US$340,000.

widgets

Each module is another line

Reconciliations, task management, transaction matching and intercompany are bought as separate modules. The module list is the biggest driver of the quote.

account_tree

More entities, more to pay

Cost rises with the number of legal entities and the volume of accounts you reconcile, so a second company or a new subsidiary changes the bill.

engineering

Implementation on top

Implementation and services add another US$5,000 to US$50,000 or more before the first close runs.

sync_alt

A second system beside your ledger

The close runs in a separate platform from your ledger, so accounts, balances and owners are kept in step across two systems.

lock

Your close history in their platform

Reconciliations, sign-offs and attachments live in BlackLine. Leaving means an export and a home for seven years of records.

What you own instead

From month end to signed-off close, in one place

Checklist

Know what is holding up the close

Each month opens with your checklist. Every task has an owner, a reviewer and a due day counted in business days after month end.

  • check Late tasks by person, with business days late
  • check Sign-off by someone other than whoever did the work
  • check A target close date per company, and how long each month really took
  • check What each person still has on their desk this close

Reconciliations

Every balance sheet account, explained

Each account is reconciled against the bank statement, aged ledger, loan statement or stocktake, with reconciling items listed and a second person reviewing.

  • check Review refused while the unexplained amount is above your materiality
  • check Balances that moved after review, flagged to do again
  • check Reconciling items carried for more than 60 days
  • check A branded reconciliation sheet for every account, every month

Journals and variances

Journals approved, movements explained

Manual journals balance, are approved by a second person and carry the ledger reference. Big movements against last month need an explanation before the month closes.

  • check Journals out of balance or waiting on approval
  • check Last month's accruals that were never reversed
  • check Every movement over your amount and percentage threshold, with its explanation or the gap
  • check Variance commentary drafted for the board pack

Rules and audit

Ready for the GST return and the auditor

The records are checked against the New Zealand and Australian rules a close lives under, with each rule cited.

  • check GST control account checked before the GST return or BAS is due
  • check Months closed with an account never reconciled
  • check The auditor's request list, with what is overdue and who owns it
  • check How long each month's records must be kept

Switching

How to switch from BlackLine

Moving takes a day for most teams and involves exporting your BlackLine account and task lists, importing them with your ledger balances, and checking the results.

  1. 1

    Export your records

Export the BlackLine account list, including preparers, reviewers, risk and frequency, and the close task list. BlackLine exports these as Excel, which you save as CSV for import. Also export a trial balance from your ledger for each period you plan to load. Past reconciliations and attachments are not part of this import, so keep their BlackLine export for your retention period.

  2. 2

    Test the import

Use the import process to bring in the account list and task list, then the ledger trial balance. Start with its test run rather than loading records straight away. Check the results before importing for real. The trial balance comes from your existing ledger, which stays in place, not from BlackLine.

  3. 3

    Check the test results

Review the test-run results and counts before confirming the import. Check any issues it reports, especially whether the exported column headings match the fields expected here. BlackLine setups vary, so a small field-mapping file may be needed. Correct the mapping and repeat the test until the account, task and balance records are represented as expected.

  4. 4

    Run both systems

Run the new close alongside BlackLine for a short period. Compare the imported account owners, review assignments, checklist and trial balance with what your team is using in BlackLine. Work through any differences before relying on the new records for the close. Keep the ledger as your source of trial balances, and retain BlackLine's historical reconciliation export and attachments.

  5. 5

    Switch off BlackLine

Switch off BlackLine once you have checked the setup and completed a close using the new system. Keep the export of past reconciliations and attachments for your retention period, since that history stays in BlackLine's archive rather than moving into the new database.

construction

Where the real effort goes

The real work is usually mapping your own BlackLine column headings to the new fields, then checking that your account owners, review rules and close tasks match how your team works. You also need to decide which trial balances to load and how to retain historical reconciliations and attachments. Enterprise DNA handles this migration and setup when you have them install and run it.

Questions

Instead of BlackLine, answered

Does this replace all of BlackLine? expand_more

It covers the close checklist, balance sheet reconciliations with second-person review, manual journal approval, variance explanations, the auditor's request list and the rule checks. BlackLine also matches high volumes of bank and intercompany lines automatically and posts journals into the ledger. If you rely on those, we build them into your version before you switch.

Do we keep our accounting system? expand_more

Yes. Xero, MYOB, Business Central or NetSuite stays your ledger. The free version brings the trial balance in from an export each month. In your version we connect it directly so balances arrive on their own.

Can we bring our BlackLine set-up across? expand_more

Yes. The account list with preparers, reviewers, risk and frequency, and the close task list, export from BlackLine and import here, with a test run first. Past reconciliations and their attachments stay in BlackLine's export, which you keep for your retention period.

What will our auditor see? expand_more

Each reconciliation records the ledger balance, the supporting balance, every reconciling item, where the evidence is kept, who prepared it and who reviewed it, and those must be different people. Each month prints as a close report with the checklist, reconciliations, journals and variance commentary.

What do we pay Enterprise DNA, and who owns it? expand_more

You own the database and your version of the system. The free version has no licence fee; hosting is yours. If we build and run it, there is one setup fee and then a monthly retainer. No module list, no entity count, no seats.
