Instead of Capexplan

Stop renting Capexplan. Own your capital planning system.

We build your version around your capital approval and review process, map your Capexplan exports and run the agreed system for you through Omni by Enterprise DNA.

Capexplan’s published calculator gives US$13,500 a year for 50 users, including setup assistance, support and integrations. This is a list-price example, not a customer invoice.

The annual bill

A yearly licence for the capital review desk

Capexplan prices access by user and includes services in that fee. Compare that recurring licence with a capital system built around your own process.

paid

An annual fee for each user

The published calculator gives US$13,500 a year at 50 users. The total changes with the number of people using the service.

group

The same rate for admins and normal users

Capexplan states that both kinds of user are priced alike. A person administering the process and a person using it sit in the same pricing model.

assignment

Request and approval workflows

The service holds capital requests, budget allocations and decisions. Your own version can follow the evidence and review steps your business uses.

monitoring

Reporting and forecasts

Capexplan includes reporting and custom views. Owning your version means the underlying records and report logic stay under your control.

sync

Implementation and integrations

Setup assistance and integration are included in Capexplan’s published offer. We scope your migration and connections explicitly when building your version.

support_agent

Support and customisation

Capexplan includes support and customisation. With Enterprise DNA, one setup fee and then a retainer cover the agreed build and ongoing service.

Your capital system

A review built around the decisions you need to make

Decisions

Find the request that needs an answer

See the owner, required date and evidence reference before recording a decision.

  • check Requests waiting beyond their required date
  • check Business-case references beside each request
  • check Independent approver names and decision evidence
  • check A preserved copy of the request behind every recorded decision

Cost control

Separate spending from the forecast

See what has been spent, what remains on orders and the expected total cost without adding the same cost twice.

  • check Approved capital beside actual spending
  • check Uninvoiced order balances shown separately
  • check Forecasts compared with approved limits
  • check Old forecasts matched with the open orders they still need to cover

Completion

Keep the outcome review on the list

An installed asset is not the end of the review. Keep the owner and due date visible until the outcome evidence is recorded.

  • check Completed projects with reviews still outstanding
  • check Final cost statements for each project
  • check Review findings linked to their evidence
  • check Branded request packs and completion documents

Ownership

Keep the records and the rules

Start with a working capital register, then shape its questions and checks around your business.

  • check Separate budgets and currencies
  • check Original import rows retained for reconciliation
  • check Missing actual amounts remain clearly unknown
  • check Read-only reports and new questions drawn from your own records

Switching

How to switch from Capexplan

A move usually involves exporting selected records, mapping your fields, checking the imported data, and running both systems side by side before you stop using Capexplan.

  1. 1

    Export your records

Use Capexplan’s Export menu to select the request fields you need. Capexplan supports selected exports to Excel and CSV. The free version reads a mapped request export for one budget and currency at a time. If you also want invoices, attachments or other history, confirm what your account can export with Capexplan. Enterprise DNA can map detailed invoices, attachments and other history as part of a migration.

  2. 2

    Prepare and load the data

Set up the correct unit and budget before loading live records. Match the exported columns to the fields in the new system, then use the import’s test run first to check how the rows map. If the test looks right, load the records. Original rows are retained. The import handles one budget and currency at a time, and missing actuals stay unknown rather than being guessed.

  3. 3

    Review the import results

Check the import results and compare them with your Capexplan export. Identical reimports are skipped, while conflicts stop the whole import. Missing actuals remain unknown. Historical approval labels are kept but remain unverified until their evidence is reviewed, and imported requests start as drafts. Resolve discrepancies and review the approval evidence before relying on those records.

  4. 4

    Run both systems briefly

For a short period, keep Capexplan available while you use the new system for review. Compare requests, budget and currency, approval evidence, actual spending and any history you chose to bring across. Check that the people doing the work can find the records they need and that differences have been explained. Do not treat an imported approval label as verified until its evidence has been checked.

  5. 5

    Switch off Capexplan

Once the records have been checked and your team is working from the new system, stop entering new capital work in Capexplan. Keep the exported records and evidence available according to your own retention needs. Make sure everyone knows where to record requests and where to review them, then end your use of Capexplan through the arrangements for your account.

construction

Where the real effort goes

The real work is usually mapping your field names and approval rules, then deciding how much history to bring across. The free version starts with a mapped request export, while detailed invoices, attachments and other history may need additional mapping and evidence review. If Enterprise DNA runs the migration, they handle this mapping and migration work as part of the service.

Questions

Instead of Capexplan, answered

What part of Capexplan does the free version cover? expand_more

It covers the capital review register: requests, recorded approval evidence, invoices, outstanding orders, total forecasts and completion reviews. We scope the wider approval flows, investment calculations and connections into your version around the work you actually do.

Can we bring our Capexplan records across? expand_more

Yes. Capexplan supports selected exports to Excel and CSV. The free version reads a mapped request export for one budget and currency at a time. Original rows are retained and historical approval labels remain unverified until their evidence is reviewed. We can map detailed invoices, attachments and other history as part of your migration.

Does the system authorise spending? expand_more

A person authorises spending. The free version lets a trusted operator record that decision and its evidence, checks the available budget and preserves the history. We build authenticated team decisions and your delegation limits into a custom version when those are needed.

Can our team have its own screens and connections? expand_more

Yes. We build the screens, access controls and connections you agree with us. Your capital records stay in your database. The free version already produces read-only review reports and branded documents for a trusted operator.

What do we pay Enterprise DNA? expand_more

One setup fee, then a retainer for the agreed build and ongoing service. The open-source base has no licence fee. We review your current bill, export files and approval process before scoping the work. Hosting and your chosen operating tools still have their own costs.
