Your own credit desk

Know what is overdue and what is holding it up

Monday review

Start with the invoices that need attention

See what is overdue, who owns the account and what needs checking before the next follow-up.

  • check Ageing grouped by business entity and currency
  • check Current balances kept separate from overdue amounts
  • check The oldest overdue invoice beside each account owner
  • check Quiet accounts shown with their last recorded conversation

Promises and disputes

Keep the agreement beside the invoice

A promised date is a commitment to check. A dispute is work to resolve before asking again.

  • check Promised amounts and dates with their evidence
  • check Open commitments due within the coming week
  • check Disputes with a named owner and next review date
  • check Disputed invoices blocked from reminder drafts

Checked drafts

Follow up from records you have reviewed

Prepare a reminder after checking the recipient, balance and account restrictions. A person reviews every draft.

  • check Stale balances and unverified recipients stop drafts
  • check Import review stays visible until reconciled
  • check Draft wording includes the balance date and adds no fees

Your rules

Change the desk as your process changes

  • check Account and invoice history with source references
  • check Your own fields, review intervals and branded reports

Switching

How to switch from Chaser

A move usually involves exporting invoice-level data, mapping it to the new database, checking exceptions and confirming the new workflow before you retire Chaser.

  1. 1

    Export your invoice records

Export an invoice-level report from Chaser. Save the report’s Source Database sheet as a CSV, and keep the original unchanged. Bring the invoice balances and source fields you need for the new desk. Conversations, attachments, payment promises and disputes are not all carried across by this invoice export, so identify those records separately for mapping or review.

  2. 2

    Test and load the export

Map the headings in your export to the fields in the new database, then use the import’s test run before saving anything. Check that the preview looks right, including amounts and currencies. When the mapping is correct, load the records. Keep the source export so you can trace imported values back to Chaser.

  3. 3

    Review import flags

Check any records flagged for mapping review, conflicting values or older snapshots. Confirm that amounts are paired with their actual currencies, since a mismatch can corrupt totals. Compare imported balances with your accounting system, review open disputes and contact holds, and verify customer details before the team starts preparing follow-ups. Record any promises or disputes that need separate handling.

  4. 4

    Run both side by side

Keep Chaser available while your team uses the new desk for a short period. Compare balances with your accounting records and check account owners, disputes, promises, contact holds and draft follow-ups against the source information. Treat drafts as needing review, and check an invoice’s balance and status before acting on it. Note any work your team still needs Chaser for.

  5. 5

    Switch off Chaser

When the team has checked the records and agreed that the new workflow covers the work you are moving, stop using Chaser for that work. Keep the export and any source records you need for reference. The new desk records checked balances from your accounting system, but it does not process payments, so continue reconciling payments and credits in your accounting system.

Where the real effort goes

The main work is usually mapping your own fields and rules, then deciding how much history to bring. Invoice balances and source fields transfer from the export, while conversations, attachments, promises and disputes need separate mapping or review. If you have Enterprise DNA run the installation, they map your Chaser exports, add your fields and rules, and build the agreed screens.

Questions

Instead of Chaser, answered

Will this replace the work our team does in Chaser? expand_more

The free version covers an internal desk for invoice snapshots, ageing, promises, disputes and draft follow-ups. We scope your live accounting connections, mail workflow and screens before building your version. Start with the work you actually use and agree the replacement around it.

Can we bring our Chaser records with us? expand_more

Yes. Export an invoice-level report, save its raw-data sheet in a plain spreadsheet format and map the headings. Invoice balances and source fields transfer. Conversations, attachments, promises and disputes need separate mapping or review. We check totals and open disputes before your team starts following up.

Does it collect payments or send reminders automatically? expand_more

The free version prepares drafts for a person to review. It records balances checked against your accounting system and does not process payments. We can scope mail and accounting connections for your managed version, with the review rules your business needs.

What stops us chasing the wrong balance or a disputed invoice? expand_more

Open disputes, customer holds, unreviewed imports, stale balances and unverified contacts block reminder drafts. The age limits are your operating policies, not a claim of legal compliance. Your team still checks the source and recipient before any message leaves.

What will Enterprise DNA charge? expand_more

One setup fee, then a retainer for the agreed service. Sam scopes the migration, fields, screens, connections and ongoing work with you. The free version is open source if you want to run it yourself.
