Instead of CRIO
Stop renting CRIO. Own your trial site system.
We build your version around your studies, budgets and SOPs, bring your CRIO subject and visit history across, and run it for you.
CRIO does not publish a price; you get a quote after a demo. Rival SimpleTrials lists its site plan at $599 a month, plus a startup fee.

What the subscription covers
Most of a site platform is arithmetic over your own records
CRIO sells eSource, site CTMS, eRegulatory, payments, recruitment and eConsent as one platform. Strip out bedside data capture and what is left is dates, money and documents.
A price you only see after a demo
CRIO lists no price on its site. Rivals that do publish charge $599 a month for a site plan, before the startup fee.
Visit window tracking
Sold as automated window tracking. Underneath it is the baseline date plus the protocol day, give or take the window.
Invoicing from completed visits
CRIO generates invoices from completed visit data. That is a sum of completed visits against your trial budget.
The regulatory binder
Approvals, consent versions, insurance and staff certificates. A list of documents with versions and expiry dates.
Reports and a report builder
Standard reports, a report builder and a custom report service. Your own database answers the same questions when you ask.
Recruitment and stipend add-ons
Text blasts, prescreening questionnaires and stipend cards. We connect the providers you already use into your version.

What the site team gets instead
Schedule
Every visit window, worked out
Enrol a participant and every visit in the schedule of assessments is laid out with its window.
- check Overdue, open and upcoming windows in one list each morning
- check A visit outside its window is flagged until a deviation is recorded
- check Which participants have run late before and have a visit due
- check Visit loads by coordinator for the next 30 days
Money
Every completed visit invoiced
A completed visit earns its fee from the budget the moment it is recorded.
- check Earned and not invoiced, by study and by age
- check One invoice per study for everything outstanding
- check Which sponsors pay slowest against their own terms
- check Screen failures with no fee recorded, so nothing is left unclaimed
Binder
Ready for a monitor or an inspection
The delegation log, staff training and essential documents are checked against the visits actually done.
- check A visit by someone not delegated for visits that day
- check GCP training older than your SOP allows
- check Expired insurance or registrations with no renewal on file
- check Progress reports to the ethics committee coming due
Safety
Clocks nobody can miss
The serious adverse event clock starts when the site becomes aware, and it leads every list until the sponsor is told.
- check Hours left to report each serious adverse event
- check Visits done before consent was signed
- check Participants still on an old consent form version
- check Each finding names the rule and where it comes from

Ask it anything
Ten questions your version answers today
CRIO offers standard reports and a report builder. Here these questions are built into the free version, and you can ask your own in plain English.
Switching
How to switch from CRIO
A move usually involves preparing two CRIO reports, mapping your studies and visit schedules, testing the import, then checking records before you switch.
- 1
Export subjects and visits
Use CRIO’s standard reports or report builder to prepare one report with a row per subject and another with a row per visit. Download them as CSV, study by study. Check with CRIO if you need help finding the reports or confirming what your account allows you to export. Source documents, binder files, audit trails and payment history do not come across in this version.
- 2
Set up studies and schedules
Before loading records, add each study and its schedule of assessments to Trial Site. This gives the import a schedule to match visits against. Visits match by code or name, and anything that does not match comes in as an unscheduled visit. Decide which studies and history you want to bring across, knowing that the import covers subjects and visits.
- 3
Test the import first
Run a test import for a study before loading its records for real. Review what the test reports and correct any field mapping or schedule issues you find. Then import the subject and visit reports study by study. The import uses the subject ID to update matching records, so you can run it again if you need to correct or add data.
- 4
Check records against your rules
After importing, check the participant and visit records against your study information and SOPs. Review the record checks for gaps such as visits before consent, visits outside their protocol window, or visits performed by staff without delegation. Resolve issues that come from missing or mismatched data, and confirm that visit fees and other imported details are right before relying on the new system.
- 5
Run both systems, then switch
Keep CRIO and Trial Site in use side by side for a short period you agree on. Compare current study, participant, visit and fee records, and make sure your team can find what it needs in Trial Site. Once you are satisfied with the checks and the agreed records are in place, switch off CRIO for the operations you have moved. Keep source data and documents where your SOPs require them.
Where the real effort goes
The main work is usually mapping your own fields, study schedules and rules, then deciding how much history to bring. The import covers subjects and visits, not source documents, binder files, audit trails or payment history, so plan where those records will remain. If you have Enterprise DNA run the system, they handle this migration work with you as part of agreeing the scope.

Questions
Instead of CRIO, answered
Does this replace CRIO’s eSource? expand_more
No. The free version is the business side of the site: schedule, money, binder, delegation and safety clocks. Source data and case report forms stay in the sponsor’s system, on paper, or in a source tool you keep. Many sites move the operations side and keep source where it is.
Can we bring our CRIO records across? expand_more
CRIO offers standard reports and a report builder. A report with a row per subject and one with a row per visit, downloaded as a spreadsheet, brings participants, visits and visit fees across. Source documents, binder files and audit trails stay where they are. We agree the scope and do a test run before you switch.
Does it meet good clinical practice? expand_more
It checks your records against the rules and flags gaps: late serious event reports, visits before consent, undelegated staff, overdue progress reports. Each finding cites its source. Your site stays responsible for its quality system, and anything holding source data needs validation under it.
Where does participant information live? expand_more
In a database your site owns, hosted where you choose, including Australia or New Zealand. The free version stores subject numbers and initials, not full names. We set access and backups with you in the version we run.
What do we pay Enterprise DNA? expand_more
One setup fee, then a retainer for the agreed customisation and operation. We review your studies, budgets and history with you before setting the scope. The free code has no licence fee; hosting and your chosen assistant have their own costs.
