Switching

How to switch from iClassPro

Moving off iClassPro is mostly about exporting your student list, mapping what the import doesn't carry over, such as attendance, assessments and fees, and running both systems side by side until you trust the new one.

    Export your student list

    In iClassPro, run the Custom Student List report and export it as CSV. This is the export iClassPro documents for pulling student and guardian data out. Check your account for the exact export path, since screens and permissions can differ by plan. Export the full list rather than a filtered subset, so nothing is missing later.

  2. 2

    Run a test import first

    Before touching real records, load the exported file as a trial run. This checks the file against the expected columns without adding anything permanent, so you can see what would happen and fix the export if something looks wrong. Only once the trial looks right should you load the file for real, bringing in children and their primary guardians.

  3. 3

    Check what the import flags

    The import only brings in children and primary guardians. It does not carry over attendance, assessments, fees, balances or safety evidence, so plan separately for that history. There is no single reliable ID in the export, so matching relies on guardian name, email, child name and birthday. Anyone whose details changed recently will need manual checking.

  4. 4

    Run both systems side by side

    Keep iClassPro running while you use the new system for scheduling, attendance and progress. Compare the two for a stretch before you commit to anything. Leave your existing payment and parent booking arrangements in place until you have tested the replacement enough to trust it with real families and real money.

  5. 5

    Switch off iClassPro

    Once the new system holds your current families, classes and staff records correctly, and you have checked a run of real lessons against both systems, cancel your iClassPro subscription. Keep a copy of the original export on file in case you need to look something up later.

The real work is not the export, it's deciding how your levels, classes and make-up credit rules map into the new fields, and how much history of attendance, assessments and balances you actually want carried over versus starting fresh from today. That mapping and reconciliation is what takes time. Enterprise DNA handles this scoping and the migration itself when they set up or run your version.

The code is free under the MIT licence. Hosting, the assistant you use, setup and ongoing operation cost separately. Our custom and managed versions have one setup fee, then a retainer.

Will our iClassPro history come across? expand_more

The free importer takes children and primary guardians from the documented Custom Student List export. Attendance, assessments, credits, fees and documents need separate mapping and reconciliation. We scope that work with you before you leave iClassPro.

What happens to parent bookings, payments and the phone app? expand_more

We build and connect the parent experience your school needs as part of your custom version. The free base handles staff records and confirmed receipts. Keep existing payment and parent arrangements until the replacement has been tested.

Does it decide whether an instructor is cleared to work? expand_more

No. It flags missing or stale evidence against documented NSW rules, applicable NZ safety checks and your school policies. Your responsible person verifies current status and decides what applies. Class limits are school settings, not a claim about legal swimming ratios.
