Instead of iCOS LIVE
Waiting on an iCOS LIVE quote? Own your freight system instead.
We build your version around how your depot books, runs and bills freight, bring your iCOS LIVE records across, and run it for you.
iCOS LIVE publishes no price. It is quoted privately after a demo, and its accounting integrations page asks you to contact their team to activate an integration.

What sits behind the quote
A private price, and the pieces listed one by one
iCOS LIVE does not put a number on its website. What you can see is how the product is split up, and each piece is something to ask about before you sign.
No public price
The product page offers a demo and a Talk to Us link, not a figure. You cannot compare it with anything until a salesperson has looked at your business.
The driver app as its own item
The iCOS Driver app, iCOS Connect and SMS Messaging each sit as a separate entry in the iCOS menu. Ask which of them your quote includes.
Accounting links you ask to switch on
Xero, Dynamics 365 Business Central and NetSuite are supported, and the integrations page ends by asking you to contact their team to activate an integration.
Partner links for the rest
Port updates, warehouse dispatch, freight marketplaces and GPS come through named partners. Every connection is one more thing between your records and a straight answer.
A TMS still being built
The product page lists an iCOS TMS as under development. What you buy today and what is coming are worth separating on the quote.
Your bookings in their system
Years of bookings, dockets and signatures sit inside iCOS LIVE, and its website has no guide to getting them out. Leaving starts with asking what they will export.
What you run instead
The depot's whole day, in one place you own
Bookings
Rated the moment they land
Each booking is priced off the customer's own rate card first and your standard tariff second, and the record says which one it used.
- check Bookings that matched no rate are flagged before the freight moves for nothing
- check A morning board of what is late, what is on no run and what is due today
- check One booking's full trail on request: lane, truck, driver, signature, invoice
- check Ask which lanes keep falling back to the minimum charge
Signed and billed
Nothing invoiced without a signature
Delivered freight with no signed POD sits on one chase list with its dollar value, and the billing run will not touch it until it is signed.
- check The chase list, oldest first, so the paperwork gets found while people still remember the drop
- check One invoice per customer drafted from signed work, with the fuel levy on its own line
- check Due dates set from each customer's terms, and overdue accounts on the same list
- check On time and in full per customer, worked out from your own delivery records
Road rules
Loads, hours and the fleet's dates checked for you
The New Zealand rules a carrier works under run against your records, and each check says which rule it comes from.
- check A run over the truck's rated payload is stopped before it is loaded
- check Dangerous goods cannot go on a run with a driver who lacks the endorsement
- check Driver days checked against the continuous driving and daily limits
- check COF, registration and road user charges per truck, flagged before they run out
Owned
No quote, no activation, no vendor
Every part of the free version is there from the first day. Your records sit in a database you own, and changes are made by describing them.
- check Add a field, such as a chilled or frozen flag on a booking, by asking for it
- check Invoices, con notes and run sheets carry your logo and your business name
- check Asking a question or exporting your records never needs a call to anyone
- check Open source under the MIT licence, with nothing to renew

Switching
How to switch from iCOS LIVE
A move usually involves exporting the records your iCOS LIVE account allows, mapping them to the import, checking a test run and reviewing what does not carry across.
- 1
Ask what you can export
Ask iCOS LIVE what your account can export, usually spreadsheet files such as customers and bookings. If available, include your consignment history and rate cards as CSV, which the import can use. iCOS LIVE has no published export guide, so confirm the available records and formats with its team before planning the move.
- 2
Test, then load the records
Use the CSV records you have to run the import's test first, before anything is written. Review the results and fix any field mappings that need attention. Once the test looks right, load the records into Freight Ops. If you are unsure how a column should map, check it before loading rather than assuming the two systems use the same fields.
- 3
Review flags and gaps
Check every issue the import flags, including records or fields it cannot map, and decide how to resolve them. Runs, work time records and claims deliberately do not import, so do not treat them as carried-over history. Set fleet clocks from the actual COF labels and RUC licences on the trucks, and note what remains unverified.
- 4
Run both side by side
Keep iCOS LIVE available while you use Freight Ops for a short period. Compare new bookings, rates, consignment details, signed POD records and billing status where applicable. Record differences, correct your mappings or operating rules, and confirm that the records and checks you need are working before relying on Freight Ops alone.
- 5
Switch off iCOS LIVE
Once you have confirmed the records you need are present and the remaining gaps are understood, stop using iCOS LIVE for operations. Check with iCOS LIVE before ending access so you know what happens to records you chose not to bring across. Keep your export and the decisions about missing history with your business records.
Where the real effort goes
The real work is usually mapping your customer, booking and rate fields to the import, adapting the rules to your operation, and deciding how much history to bring. Runs, work time records and claims do not import, and fleet clocks are set from the actual truck records. If Enterprise DNA runs the move, they handle the mapping and import checks with you.

Questions
Instead of iCOS LIVE, answered
iCOS LIVE is a New Zealand company that knows freight. Why would I change? expand_more
You may not need to, and the call will say so if it fits you well. The reasons people look are a price they cannot see without a quote, extra pieces to ask about, and records held in someone else's system. Your own version keeps everything in a database you own, at a fixed retainer that you can see before you commit.
My drivers capture signatures and photos in the iCOS Driver app. What replaces that? expand_more
The free version has no phone app. It records who signed and when, entered by the office or brought in from whatever captures it, and the billing check works from that. When Enterprise DNA builds your version, we add a driver app for jobs, signatures, photos and the extra details your drivers record today.
We cart chilled and frozen freight and containers. Does it fit? expand_more
The free version is built around bookings, runs, weights, rates and signed proof of delivery, which is the core of that work. Temperature records, container details and port updates are the kind of thing Enterprise DNA builds into your version, in your own words.
Can I bring my iCOS LIVE history across? expand_more
Yes, as far as iCOS LIVE lets you export it. Its website has no export guide, so we start by asking what your account can give you, usually spreadsheet files of customers and bookings. Those columns are not the ones the free version expects, so they get mapped first, and a test run comes before anything is written. We do that as part of the move, or you can do it yourself.
We bill through Xero. Does that still work? expand_more
The free version drafts one invoice per customer from signed work and renders it with your logo, and your accounting stays where it is. When Enterprise DNA builds your version, we connect the billing run to Xero or the system you use, as part of the build rather than a link you ask to have switched on.
Know what your freight system costs before you sign
Thirty minutes with Sam. Bring your iCOS LIVE quote or invoice, and we look at what you pay, which pieces your office and drivers actually use, and what your own version would look like. If it fits, we build it and run it. If it does not, the free version is yours to keep.
