Instead of Ideanote
Stop renting Ideanote. Own your innovation system.
We build your version around how you collect suggestions, assess them and prove the result. We map your Ideanote records, bring them across and run the system for you.
Ideanote Ultimate starts at US$899 a month for 100 users. Twelve months at that starting rate is US$10,788.

What the subscription covers
A recurring bill around the improvement programme
Ultimate is the comparison here. Ideanote also offers a smaller Scale plan at US$6 per user per month billed yearly. Check your tier, users and required features before comparing costs.
A workspace for the programme
Ultimate starts with 100 users. Larger user limits are quoted, so the cost depends on the programme you buy.
Collections and review stages
Ideas sit in collections and move through configured phases. The records underneath are proposals, assessments and decisions.
Activity history
The pricing page lists an audit log under Ultimate. Your own version records who changed an idea and the reasons for decisions.
Team access
Ultimate lists single sign-on and directory synchronisation. We scope the access your team needs when building your version.
Where records live
Ideanote lists data residency as an add-on and also offers self-hosting. We agree where your own database runs before moving your records.
Reports for the review meeting
Ideanote offers custom analytics and exports. Your version gives you the exact review and outcome reports your decision meeting uses.

Questions Ideanote cannot answer
Every one of these is a real question the demo answers today. Yours will be different, and that is the point.
Switching
How to switch from Ideanote
A move usually involves exporting your idea collection, mapping its columns, checking the imported records and reconciling history before you make the new register your source of truth.
- 1
Export your idea collection
In Ideanote, export the idea collection you want to move, then save its idea worksheet as UTF-8 CSV for the import. Include the collections you intend to keep using. If you cannot find the collection export or need data beyond the worksheet, check with Ideanote. Keep a copy of the original export.
- 2
Rehearse the import
Before loading the live set, use the import’s test run with the exported worksheet. Map your Ideanote column headings to fields in the new register, including custom headings. Compare the record counts shown in the rehearsal with the source export. This gives you a chance to correct the mapping before you write records into the database.
- 3
Load and review the records
After the test looks right, run the import for real. Check the import’s flags and compare its results with the source counts. Confirm that the idea values and original source phases are retained. The import keeps original values and source phase, while local approvals remain separate. Set aside any missing or unclear records for reconciliation rather than assuming they transferred.
- 4
Run both systems together
Keep Ideanote available while you use the new register for a short period. Compare active ideas and the decisions people make in each system, and note anything that does not line up. Reconcile historic ratings, comments, attachments and permissions separately, since these need separate reconciliation. Agree which system is authoritative during this check so updates are not lost or confused.
- 5
Switch off Ideanote
When the records and working process have been checked, make the new database your source of truth and stop updating Ideanote. Keep the original export and any history you chose not to migrate according to your own retention needs. Confirm that the people responsible for reviews and approvals know where to work before you end access to the old system.
Where the real effort goes
The main effort is usually mapping your own Ideanote fields to the register and deciding which review rules should carry over. The base import handles idea exports, but historic ratings, comments, attachments and permissions need separate reconciliation. You also need to decide how much history to bring. If you have Enterprise DNA install and run it, they handle the required migration work as part of setup.

Questions
Instead of Ideanote, answered
Are you comparing this with the cheapest Ideanote plan? expand_more
No. This comparison is for an Ultimate buyer. Its published starting price is US$899 a month for 100 users, or US$10,788 over twelve months. Scale is US$6 per user per month billed yearly. Compare the features and support you use, not just the headline fee.
Can we bring our current ideas and review history? expand_more
The free version imports an idea export after its columns are mapped. It keeps original values and the source phase, while local approvals remain separate. Historic ratings, comments, attachments and permissions need separate reconciliation. We include the required migration work in your setup.
What will employees use to submit and discuss ideas? expand_more
We build the submission screens, discussion connections and access your programme needs into your customised version. The free base is operated by a trusted coordinator and produces review reports. We agree the team experience before the rollout.
Can we trust the savings and rankings it reports? expand_more
The ranking shows how complete each review is. A pilot needs two completed independent reviews and room in the budget. Measured outcomes need evidence and a different verifier before entering totals. Your people remain responsible for the measurements and decisions.
What does Enterprise DNA charge, and who owns the result? expand_more
There is a setup fee for your version and a retainer when we operate it. We scope the migration, access and ongoing work with you. You own the database and can keep the open-source base. Ideanote also offers self-hosting; compare the operating arrangement that fits your business.
