Instead of Loaded

Stop renting Loaded. Own your back office.

For cafe, restaurant and bar groups in New Zealand and Australia. We build your version around how your venues run, bring your Loaded staff, stock items, timesheets and sales across, and run it for you for one setup fee, then a monthly retainer that does not grow with every venue you open.

Loaded's Hub plan, the one with the wage and cost of goods margin reports, is NZ$249 a venue a month with an integrated POS (AU$299), excluding GST. That is NZ$2,988 a year for one venue, and the same again for every venue after it.

What you pay for

What the monthly Loaded bill is really for

Loaded prices per venue per month, and the margin reports sit on its top plan. Most of what the bill buys is the screens over records that are already yours.

storefront

A price on every venue

Hub is NZ$249 a venue a month (AU$299) with an integrated POS. Open a second site and the bill doubles; a third, it triples.

stacked_line_chart

The margin report on the top plan

Team and Stock are NZ$169 each. The automated wage and cost of goods margin analysis is a Hub feature, so the number owners want most costs the most.

point_of_sale

Full features only with a POS link

Without an integrated POS, Hub is NZ$139 a venue a month but dashboards and cash-up are not included, and reports and budgets are only partly there.

groups

Bigger groups go to a quote

Large groups and franchises move to Tailored, priced on application, so the bill for a growing group is whatever the next quote says.

dashboard

Screens over your own records

Rosters, timesheets, stock counts, invoices and recipes are your business's records. What you rent each month is the view over them.

event_repeat

A rent that never stops

Annual billing brings Hub to NZ$224 a venue a month, still every venue, every year, for as long as you trade.

What you get instead

One back office you own, with the margin worked out every day

The margin

Wages and cost of goods against sales, every venue

The number an owner runs on, from your own records, without a plan upgrade.

  • check Yesterday by venue: sales against the same day last week, covers, spend per cover, wages and wage share
  • check Wage, purchase and prime cost percentages by venue and week, marked against your targets
  • check The real cost of goods between two stock counts: opening stock, plus what was invoiced, less closing stock
  • check Ask why a margin moved and get the item, the price rise and the dishes it hit, which a dashboard chart cannot tell you

The kitchen

Every plate costed at what you actually paid

Each supplier invoice moves the cost of what it delivered, so recipes never run on last year's prices.

  • check Each dish shows its plate cost, cost percentage against target and the dollars it leaves after ingredients
  • check A supplier price rise names every dish it pushes over target and the menu price that puts each back
  • check The menu ranked by margin a plate, so staff push the dishes that pay the rent
  • check Waste logged by item and reason, with what it cost, so a par level set too high shows up

Suppliers and stock

Orders from par, invoices checked before you pay

Stock on hand, orders and invoices in one record, with the differences said out loud.

  • check What is under par at each venue, grouped by supplier, with the packs to order
  • check Draft orders built from par, one per supplier, written as an email for a person to send
  • check An invoice above its order is flagged with the dollar difference before anyone pays it
  • check A stock count cannot close half done: everything on the last count is counted again

The team and the rules

A roster that refuses the unlawful shift

The rosters and timesheets the law says you keep, with the New Zealand rules built in and their sources named.

  • check Nobody is rostered past the expiry of their recorded right to work, and there is no override
  • check A licensed night with nobody certified as duty manager on the roster is named days ahead
  • check A meal break shorter than the law requires for the hours worked is said out loud at approval
  • check Cash-ups that do not balance carry an explanation, or stay at the top of the morning list

Switching

How to switch from Loaded

The move involves exporting the records you need, mapping Loaded’s files, checking a test import, and running both systems side by side before you switch.

  1. 1

    Export your Loaded records

Ask Loaded how to download the records your account allows, usually as CSV or Excel, since Loaded has no single published export layout. Export your staff list, stock items, timesheets and daily sales. Check that the files include the history you want to bring across, and keep the original exports unchanged so you can refer back to them.

  2. 2

    Run a test import

Load the exports into Hospitality Back Office with a test run first. The test checks the files without completing the move and reports rows it cannot read. Make sure the headings and values in each file match the records you expect before you run the import for real. If a file layout is unusual, it may need mapping before it can load.

  3. 3

    Review the flagged rows

Read every row the test run flags, then correct the source file or have its columns mapped before trying again. Compare the imported staff, stock items and last prices, timesheets, and daily sales against Loaded. Imported staff start without right-to-work expiry dates or duty manager certificates recorded, so check those records and add the details you need. Recipes must be entered again and are costed at today’s prices.

  4. 4

Run both systems side by side

Keep Loaded running while you use the new database through Claude Code for a short period. Compare the same venues and days in both systems, including staff and timesheets, stock records and daily sales. Check that your team can follow the new record-keeping process and that the figures you rely on agree before you make Hospitality Back Office your working source.

  5. 5

    Switch off Loaded

Once the imported records and day-to-day figures check out, stop entering new work in Loaded and use Hospitality Back Office as your working back office. Keep your POS and payroll arrangements in place. The back office takes daily sales totals from the POS end-of-day report, and approved hours are exported to payroll.

construction

Where the real effort goes

The main work is matching the columns in your Loaded exports to the new records and deciding how much history to bring across. Loaded has no single published export layout, so unusual headings need review and mapping. Recipes are re-entered and costed at current prices. If Enterprise DNA runs the move, it handles the file review and mapping as part of the migration.

Questions

Instead of Loaded, answered

Is the free version really free? expand_more

Yes. It is open source under the MIT licence. Run it on your own computer or your own database, change anything, and you never need an account with us.

Does it connect to our POS? expand_more

The free version takes each day's totals from the POS end-of-day report, keyed in or loaded from the POS export each morning. The margin only needs the day, not every sale. A direct feed from your POS is something Enterprise DNA connects when we build your version.

How do staff clock in? expand_more

In the free version, the manager on shift clocks people in and out by saying so, and fixes a forgotten clock-out with the time they agree on. A clock-in screen on a tablet at the counter is a custom build we add, writing into the same records.

Can we bring our history across from Loaded? expand_more

Staff, stock items with their last prices, timesheets and daily sales come across from the files Loaded lets you download, with a test run first that names every row it could not read. Loaded has no single export layout, so matching your files is part of the move. Recipes are re-entered, and every one is costed at today's prices the moment it lands.

Does it do payroll or pay suppliers? expand_more

No, on purpose. It keeps the records payroll and the accounts are built from: approved hours, and supplier invoices line by line with their numbers. One export hands payroll the hours and the accounts the invoices. Pay runs and supplier payments stay where they already are.

Find out what Loaded costs your group each year

Bring last month's Loaded invoice. In 30 minutes Sam works out what your venues pay per year, what you actually use, and what one back office you own would replace it with. If it is a fit, we build it and run it. If it is not, take the free version and run it yourself.
