Instead of Precoro

Stop renting Precoro. Own your purchasing system.

We build your version around who approves purchases, how goods arrive and how invoices get checked. We map your Precoro records, bring them across and run the system for you.

Precoro Automation starts at US$999 a month billed annually, or US$11,988 a year. Your final quote depends on your requirements.

Switching

How to switch from Precoro

The move involves exporting your purchasing records, mapping and checking the import, and running both systems side by side before you switch.

  1. 1

    Export your purchasing records

Start with a Precoro custom report for your purchase orders and export it as a spreadsheet in a format the import supports, such as XLSX or CSV. Export what your account allows, and check with Precoro if you are unsure which report or fields to use. Decide separately which receipts, invoices, approval history and attachments you want to bring across.

  2. 2

    Map and load the records

Use a clean database for the real import, separate from any demo records. Map the purchase-order report fields to the fields in the new system. Test the mapping on a copy or a small sample first if your import process allows it, then load the agreed records. The import keeps original values, so check that each field has landed where you expect.

  3. 3

    Review flagged records

Check the imported order lines and review any changed source rows that the import marks for review. Confirm that key details, including budgets and budget periods, match your records. The purchase-order import does not bring across approvals, receipts, invoices, attachments or payments. Map and reconcile those separately before treating your purchasing history as complete.

  4. 4

Run both systems side by side

Keep Precoro in use while you check the new system against real purchasing activity for a short period. Compare orders and recorded approvals, and check that receipts, invoice differences and budget commitments are represented as agreed. Note missing records or process rules that need attention. Do not assume the purchase-order import has carried over the rest of the history.

  5. 5

    Switch off Precoro

When the records you agreed to bring across have been checked and the side-by-side review is satisfactory, stop entering new purchasing activity in Precoro and move the team to the new system. Confirm how you will retain access to Precoro records you still need. Payments do not move through the free version, so keep payment handling in its existing process.

Where the real effort goes

The main work is usually mapping your own fields and approval rules, then deciding how much history to bring. Purchase orders have a defined import path, but receipts, invoices, approval history and attachments need separate mapping and reconciliation. Agree that scope before switching. If you have Enterprise DNA install and run it for you, they do this setup work with you.

Questions

Instead of Precoro, answered

What does this replace in Precoro? expand_more

The free base covers purchasing records, recorded approvals, goods receipts, invoice-line comparisons and budget commitments. We review the parts you use, then build the connections and working screens your own version needs.

Will our purchasing history come across? expand_more

Precoro lets you export custom reports as spreadsheets. The free import accepts purchase-order lines with field mapping and keeps the original values. Receipts, invoices, approval history and attachments need separate mapping and reconciliation. We agree that work before your switch.

Can staff approve purchases and receive goods on their phones? expand_more

We can build staff approval and receiving screens into your version, with access controls for each role. The free base records the named operator. It does not authenticate that person. Shared operation needs those controls agreed and installed.

Does a matched invoice get paid automatically? expand_more

No. Matching compares recorded quantities and net unit prices. A person still reviews the source documents and any tax or delivery charges. Missing evidence and differences remain visible. No money moves from the free version.

What will Enterprise DNA charge? expand_more

We scope the setup around your records, approvals, connections and team. Then a retainer covers the ongoing work we agree. The call with Sam establishes that scope before you commit.

Make the next purchasing system yours

Book 30 minutes with Sam. Bring your Precoro bill and an example of an approval, delivery or invoice that creates extra work. We will outline your version, the records to move and the work to keep it running.
