Switching

How to switch from Safe Food Pro

The move is mostly a mapping and reconciliation exercise: you export what Safe Food Pro allows, map the headings to the new database, run a test import, and check the counts before you trust it.

    Export your Safe Food Pro records

    Export what your account allows, usually CSV or Excel. Safe Food Pro documents exports for supplier, equipment and staff lists, so check with Safe Food Pro for the exact steps on your plan. If you use custom form layouts for other records, those need their own mapping and will take more work to bring across than the standard exports.

    Map headings and run a test import

    The import needs your exported column headings mapped to the fields the new database expects. Before loading anything for real, run the test import so you can see what would happen without touching live records. Fix any mapping problems the test turns up, then run it again until the preview looks right and nothing unexpected shows.

    Check what the import flags

    The import fails closed on any column it does not recognise, and stops on a changed value tied to a record's stable identity so you can review it rather than guess. Rows it has already seen are skipped, not duplicated. Once a run comes back clean, reconcile the row counts against your original export and spot check a sample against Safe Food Pro.

    Run both systems side by side

    Keep Safe Food Pro running while your team also enters records into the new system, for as long as you and your food safety supervisor need to trust the numbers. Agree and test how staff will capture readings day to day, since a new record desk needs an agreed entry process before you retire the system your kitchen uses now.

    Turn off Safe Food Pro

    Once the counts reconcile and your team trusts the new records, cancel Safe Food Pro. Back up your evidence archive first. Photos, signatures and original reports referenced by your records are not carried over by the export or import, so keep them somewhere safe before you close the account for good.

Where the real effort goes

The real work is not the software. It is mapping your own sites, categories, supplier and staff fields, and your rules, and deciding how much history is worth bringing across. Custom form layouts need their own mapping on top of the standard supplier, staff and equipment exports. Enterprise DNA does this mapping, the test import and the reconciliation for you when you have them install and run it.

That depends on your sites and the work you need built. The free source has no licence fee, while hosting and operation still cost money. Enterprise DNA agrees a setup fee and retainer after reviewing your requirements. Compare the whole cost before deciding.

Can you bring our existing records across? expand_more

Safe Food Pro documents exports of supplier, equipment and staff lists. We map the exported headings, run a test import and reconcile the counts. Custom forms need their own mapping. Original reports, photos and signatures stay in an evidence archive unless their migration is separately agreed.

Will this make us compliant with Standard 3.2.2A? expand_more

It checks selected Australian record gaps, temperature and cooling limits, supervisor evidence and retention dates. It does not certify compliance. Your category, approved methods and local requirements must be reviewed with your food safety supervisor and regulator. New Zealand food-control-plan rules need a separate version.

Can staff use phones and keep our temperature sensors? expand_more

We can build phone entry and connect supported devices as part of your version. The working free version is for reviewing and recording observations, with read-only reports. Agree and test the capture process before retiring the system your kitchen uses today.

What happens if a reading is wrong or an action is closed? expand_more

Recorded measurements stay in the history. Corrections are recorded as follow-up actions, with an owner and closure evidence. Closing an action does not erase the original temperature finding. Your supervisor decides what the food and the records require.
