Instead of Salesforce Education Cloud
Stop renting Salesforce Education Cloud for your adviser desk. Own your student success system.
We build your version around your programmes and adviser routines, map your Salesforce records and bring them across. Enterprise DNA can then run the system for you.
Salesforce lists Education Cloud Core at US$87 per user/month, billed annually, for eligible nonprofits. That is US$1,044 per paid seat each year before discounts or grants.

Understand the subscription
Price the adviser work you actually need
Education Cloud serves the wider learner lifecycle. Compare that subscription with a system built around your staff adviser desk. The published rates below are nonprofit rates, not a quote for every institution.
A monthly rate for each licensed user
Core lists US$87 per user/month. Count the paid adviser and service-team seats in your own agreement.
An annual commitment
The published monthly figure is billed annually. Compare the renewal commitment with your actual staffing and support work.
A higher edition has a higher rate
Sales & Service Advanced lists US$131 per user/month billed annually. Check whether its additional capabilities are part of your requirements.
More than the adviser desk
The edition comparison spans admissions, academic operations, student success and alumni relations. This alternative concentrates on recorded adviser work.
Eligibility changes the comparison
Salesforce identifies the displayed cards as nonprofit pricing and directs for-profit institutions to a separate guide. Use your own contract as the final comparison.
The records still need to be organised
Learner identities, support goals, owners and review dates need clear definitions in either system. We build your version around those definitions.
What your version does
Keep the next support step visible
Caseload
Know who owns each learner follow-up
Review assigned learners alongside contact history and open work. Combine the records around the question your team is asking.
- check Learners grouped by adviser and programme
- check Unassigned learners shown for review
- check Adviser caseloads against agreed capacity
- check Overdue alerts alongside the last recorded contact
Support plans
Turn an agreed goal into accountable actions
Each support plan holds its goal, review date and responsible person. Its actions keep their own owners and due dates.
- check Active plans ordered by review date
- check Unfinished actions shown with days overdue
- check Completion requires a recorded outcome
- check A plan stays open while its actions are unfinished
Referrals
See which handovers still need a response
Record the service, response date and sharing basis. Follow each handover from pending to acknowledged to closed.
- check Unanswered referrals grouped by service
- check Recorded acceptance evidence
- check Learners with pending referrals and high-priority alerts
- check Private follow-up briefs prepared from current facts
Your records
Make the weekly review fit your institution
Keep the underlying records and the rules for reviewing them. Add the fields and checks your team needs as its work changes.
- check Monday review combines caseloads, exceptions and referrals
- check Accuracy and retention dates flagged for human review
- check Branded support-plan reviews and adviser handovers
- check Your data can be exported with its recorded change history

Ten questions your adviser desk answers
These are tested on the fictional demonstration records. They combine related records around your question, without claiming that Salesforce cannot be configured to do the same.
Switching
How to switch from Salesforce Education Cloud
A move usually involves exporting supported records from detailed Salesforce reports, mapping your fields, testing the import, and reconciling the new database before staff switch their work.
- 1
Export supported records
Start with the staff work this replacement covers: learners, adviser assignments and caseloads, alerts, support plans, agreed actions, referrals, and interaction history. In Salesforce Education Cloud, export detailed Salesforce Details Only CSV reports, then map the report headings to the documented fields. Include source IDs and linked-record information where available. This is not a full Salesforce backup. Attachments, access settings, and unsupported records need a separate plan.
- 2
Load a test run
The destination is a private staff database used through Claude Code, not a web front end. Use the importer to load supported report files in dependency order. It offers a test run so you can review what would be imported before committing records. Do not mix fictional demo learners with a real portfolio. Before loading personal records, review access, encryption, backups, and retention.
- 3
Check import results
Review ignored columns and any conflicts the import reports, then reconcile record counts and inspect sample learners with linked history. The importer leaves unchanged reruns alone and stops on conflicting values, so resolve discrepancies rather than assuming every row loaded. Have staff verify that key fields, assignments, plans, actions, referrals, and interaction history match Salesforce before proceeding.
- 4
Run both side by side
For a short period, keep Salesforce as your working record while staff use the new database and Claude Code for the covered adviser work. Compare caseloads, alerts, plans, actions, referrals, and recent interaction history in both places. Ask staff to note missing fields, mismatched links, or steps that still depend on Salesforce. Agree which system is authoritative during this check so updates do not split between them.
- 5
Switch off the old system
Once counts and sample records are reconciled and staff approve the covered workflows, make the new database the record for caseloads, alerts, support plans, actions, referrals, and interactions. Stop entering that work in Salesforce Education Cloud. Education Cloud covers a wider learner lifecycle, so switch it off only after confirming that admissions, recruitment, other records, or existing connections do not still depend on it.
Where the real effort goes
Most effort is not the file transfer. It is mapping your own fields, links, and support rules, then choosing how much learner and interaction history to bring. Attachments, access rules, and unsupported records need a separate migration plan. If Enterprise DNA runs your version, this mapping and scope work is part of the agreed build. Your staff still verify the source data and imported records.

Questions
Instead of Salesforce Education Cloud, answered
Does this replace all of Salesforce Education Cloud? expand_more
It replaces the staff record work described here: caseloads, alerts, support plans, actions, referrals and interaction history. Education Cloud covers a wider learner lifecycle. We scope the rest of your requirements and existing connections before building your version.
Can we bring our learner history across? expand_more
Yes, for the supported records. Export detailed Salesforce reports, map your headings and do a test run. Check counts and sample learners before importing. Attachments, access rules and other unsupported history need a separate migration plan. We handle that mapping as part of your agreed build.
What about privacy and sensitive support records? expand_more
The free version is a private staff database for one institution. It flags accuracy and retention reviews and records a sharing basis for referrals. Your staff verify those facts and decide what can be shared. We scope access controls and your local requirements before operational use. The checks do not certify compliance or make care decisions.
Can our team and learners have their own screens? expand_more
Yes. We can build staff screens and a student portal with the access rules you need. The free base provides private, read-only reviews and paperwork for staff. The portal, bookings and other connections belong in the agreed custom build.
Is the free version really free, and what do you charge? expand_more
The software has an MIT licence with no software seat fee. You cover your hosting and chosen assistant. Enterprise DNA charges one setup fee, then a retainer for the agreed build and ongoing operation. Salesforce discounts, granted seats and nonprofit eligibility affect the comparison, so we start with your actual renewal bill.
