Instead of SmartyGrants
Stop renting SmartyGrants. Own your grants system.
We build your version around how your rounds, panel and committee actually run. We bring your SmartyGrants history across and run it for you.
SmartyGrants does not publish a price. Its annual access fee is quoted on application and moves up in bands as the money you give away each year grows.

What the subscription covers
A fee set by how much you give away
SmartyGrants prices each instance on its annual grants, awards and scholarships disbursement, not on users or applications. Here is what sits inside and around that fee.
A fee banded by your giving
The annual access fee steps up through disbursement bands. Give away more next year and the software costs more, though the work is much the same.
A price you see after asking
Every band on the public pricing page reads price on application. Current rate cards are only visible once you are logged in as a subscriber.
One instance, one subscription
Pricing is per instance. Separate entities or departments with their own programs can each need their own subscription.
Your data, through paid connections
Reports export to Excel and Word, but the API, OData reporting, metadata export and weekly backup by secure file transfer are listed as extra services.
Connections and branding as extras
Xero integration, single sign on, a custom email or site domain, and re-skinning after a brand change all sit on the other fees list.
Help to move in
Data migration of your history and consultancy for a complex setup are separate services, on top of the onboarding included in the first year.
Your working version
From round close to the last acquittal
Round close
Get the panel ready without the spreadsheet
The day a round closes, see what still needs an eligibility check, an assessor or a declaration.
- check Applications not yet checked for eligibility
- check Eligible applications with no assessor assigned
- check Assessors who scored without a conflict declaration
- check A printable panel pack ranked by average score, with conflicts listed
Conflicts and decisions
A panel process that stands up to an audit
Every declaration, score and decision sits on one record, with the rule and its source beside any gap.
- check An assessor who declared a conflict and still scored that applicant
- check Approvals that went against every assessor, with no reason recorded
- check Commonwealth grants not reported on GrantConnect within 21 days
- check Outcome letters with the approved amount and conditions, drafted for review
Money out, reports in
Stop paying grantees who owe you a report
Payments, agreements and acquittals in one place, so nothing is released while a report is overdue.
- check Payments due while the same grantee owes an overdue report
- check Agreements sent weeks ago and still unsigned
- check Progress and final reports overdue, due soon or waiting for review
- check Reminder letters that name the payment waiting on the report
Your own questions
Ask what the dashboard never charted
Your records answer questions across every round, every program and every year.
- check Which assessors score furthest from the rest of the panel
- check Which regions get the least funding per application
- check Which groups were declined twice or more and never funded
- check For a private or public ancillary fund, the minimum distribution still to pay this year

Switching
How to switch from SmartyGrants
A move like this usually involves exporting three reports, mapping your records, checking the imported data, and running both systems side by side before you switch.
- 1
Export your records
In SmartyGrants, use its Excel report templates to build one report for applications, one for payments, and one for reports due, also called acquittals. The templates can export any field from any form. Save each report from Excel as a CSV file. Check that your reports include the fields you need, and ask SmartyGrants if you are unsure what your account allows.
- 2
Test the import
Set up your funder in Grants for Claude Code, then have someone run a test import of the applications report before loading records. Once you have reviewed that test, import the applications, payments, and acquittals reports. The import matches records using the SmartyGrants application number, and can create programs, rounds, and applicants it has not seen before.
- 3
Review import results
Check the test run output for anything the import flags, and confirm that the records you expect are present after loading. Pay particular attention to how your fields and application numbers have been matched. Attachments stay in your records system. In this version, assessor scores, the audit log, and form answers beyond the listed columns do not come across.
- 4
Run both briefly
Keep SmartyGrants available while you use the new database alongside it for a short period. Compare the records you rely on, including applications, payments, and acquittals, and check that your team can find the information it needs. Applicants can keep using a form you already run on your website, with submissions brought into the database.
- 5
Switch off SmartyGrants
Once you have checked the imported records and your team is ready to work from the new database, stop using SmartyGrants for day-to-day grant work. Before ending access, make sure you have exported the history you intend to keep and know where your attachments and other records that did not come across will remain available.
Where the real effort goes
The main work is usually mapping your own fields and rules to the database, then deciding how much history to bring across. The reports cover applications, payments, and acquittals, but attachments stay in your records system, and assessor scores and the audit log do not come across in this version. Enterprise DNA handles the mapping when they install and run it for you.

Questions
Instead of SmartyGrants, answered
Do our applicants lose the online application form? expand_more
The free version has no public form. Applicants can keep using a form you already run on your website and the submissions are brought in, or Enterprise DNA builds a branded application form into your version.
Can we bring our SmartyGrants history with us? expand_more
Yes. SmartyGrants exports any field from any form through its Excel reports. Three reports bring applications, payments and acquittals across, matched on the application number so it can run again. Attachments stay in your records system. Enterprise DNA does the mapping for you.
How do external assessors score without a login? expand_more
In the free version they score in a shared form or sheet and the grants officer records the result, with their conflict declaration for the round. If your panel needs its own screen, Enterprise DNA builds assessor access into your version.
Does this make our grants process compliant? expand_more
No software does that on its own. It flags specific gaps in your records: conflicts, late GrantConnect reporting for Commonwealth grants, ancillary fund minimum distributions, payments without a signed agreement and overdue reports, each with its source for your team to review.
What does Enterprise DNA charge? expand_more
One setup fee, then a retainer for the agreed ongoing work. Sam scopes the history to bring across, the forms and access you need, and the rules to build. The free version carries an MIT licence and costs nothing.
