Switching

How to switch from Smokeball

Moving off Smokeball means exporting what the account will give you, mapping it into the new system with a test run first, then working in both for a stretch before you cancel the subscription.

    Export your records from Smokeball

    In the Smokeball web app, go to Settings then Data import/export to download your data as CSV files covering staff, contacts, matters, unbilled time, invoices, paid invoices, memos and tasks. Smokeball's help article does not list documents or trust records in that export, so copy those out separately while your subscription is still active, and keep a full copy of your trust ledger.

    Load the data in, test first

    Smokeball's column layout differs from the layout the importer expects, so the files need mapping before anything is saved. Enterprise DNA does that mapping and runs a test pass first, so you see what the load would produce before committing it. Nothing is written to the real database until that test run looks right and someone has checked it over.

    Check what the import flags

    Every imported client arrives with no CDD date, and every imported matter with an empty client care file, on purpose. The system will not treat a file as complete just because Smokeball never said otherwise. Run the compliance check and work through what it lists. Key dates and undertakings are entered by hand in one deliberate pass rather than imported, because they are too important to get wrong.

    Run both systems side by side

    Keep Smokeball live and working alongside the new system for a short stretch before you commit. Enter time, open matters and log key dates in both, and compare what each one shows. This is where you catch a missing field or a rule that needs adjusting, before Smokeball access is gone and there is nothing left to check against.

    Switch off Smokeball

    Once the side-by-side period checks out and your team is working from the new system without needing Smokeball open, cancel the Smokeball subscription. Trust accounting does not live in Matters for Claude Code on purpose, so your trust ledger stays in its own audited system either way.

Where the real effort goes

The real work is not the export, it is mapping Smokeball's columns onto your matter types, rates and rules, and deciding how much history to bring across rather than start clean. Documents and trust records need handling separately from the rest. Enterprise DNA does this mapping and the test run when they install and run the system for you.

Smokeball runs our trust account. Where does that go? expand_more

The free version keeps no trust ledger on purpose: trust money belongs in a dedicated, audited trust accounting system. It records everything around the money, the matters, time, invoices, dates and undertakings. Smokeball's export does not list trust records, so keep a full copy of your trust ledger before you leave.

The free version has no publisher forms library. Your own precedents stay in your document store, and the system drafts letters as text for a lawyer to finish.

How do we get our records out of Smokeball? expand_more

The rule book it ships with cites New Zealand conduct rules and limitation periods. Each rule is written in plain language with its source, so an Australian firm's rules replace them.

Is this legal advice? expand_more

No. It checks your own records against a written list of rules with their sources and names the files that fall short. The rules are yours to read and change, and the call on any file stays with your lawyers.
