Switching

How to switch from Spotlight Reporting

The move involves exporting monthly account detail, mapping your labels, importing it and reconciling the figures before you stop using Spotlight Reporting.

  1. 1

    Export your monthly detail

For Spotlight Forecasting, use a suitable account-detail Excel export and save its monthly detail sheet as CSV. If you use Reporting only, its documented sharing export is PDF, which the importer does not accept. You will need the underlying monthly spreadsheet prepared first. Export options can vary, so check with Spotlight Reporting if you are unsure what your account allows.

  2. 2

    Run a test import

Use the import's dry run before loading the records. Prepare the monthly detail and map your Spotlight labels to the fields used by Advisory Reporting. The importer does not accept every workbook unchanged, so use the test to see whether the prepared detail fits and whether the mapping needs adjustment before you import it for real.

  3. 3

    Review flags and reconcile figures

Check the import results for conflicts, missing amounts and any other issues before relying on the records. Conflicts stop the full import, blank amounts stay unknown and subtotals are ignored to prevent double counting. Compare the imported figures with the source detail, check source references and balance checks, and record a human review when the figures are reconciled.

  4. 4

Run both systems side by side

Keep Spotlight Reporting available while you review the imported results alongside your existing reports for a short period. Compare the monthly figures and budget variances, and check that the records you need for review and advisory actions are present. Resolve any differences in the source detail, mapping or preparation before you rely on the new reporting desk.

  5. 5

    Switch off Spotlight Reporting

Once you have checked the imported figures and confirmed that the records you need are available, move your team to Advisory Reporting for Claude Code. Keep any source spreadsheets and other records you still need according to your own process. If you have saved layouts, commentary, connections or forecasting formulas to carry over, treat those as separate migration work rather than assuming they came across with the monthly figures.

construction

Where the real effort goes

The main work is usually preparing monthly detail, mapping your firm's labels and reporting rules, and deciding how much history to bring across. Saved layouts, commentary, connections and forecasting formulas need separate migration work. If Enterprise DNA runs the installation, it prepares the monthly account detail, maps it and reconciles the imported figures as part of the move.

Questions

Instead of Spotlight Reporting, answered

Does this replace every part of the Spotlight suite? expand_more

The free version covers monthly management results, budget comparisons, review evidence and advisory actions. We scope your live accounting connections, forecasting, group consolidation and client screens into a custom build where needed. The first discussion establishes which parts your firm uses.

Can we bring across our existing reports? expand_more

Spotlight Forecasting documents Excel export. We prepare the monthly account detail, map it and reconcile the imported figures. Reporting’s sharing guide documents PDF, which the free version does not import. If that is your only export, we need the underlying monthly spreadsheet. Saved layouts, commentary and connections are separate migration work.

What happens when clients use different currencies? expand_more

Each client keeps its own currency. Firm-wide profit summaries group like currencies and show incomplete results. We agree any currency conversion or group consolidation separately before building it into your version.

How do we check the figures before a client sees them? expand_more

Review the source references, missing amounts and balance checks, then record the human reviewer. Reviewed periods are locked. The retention check examines recorded dates, so your team still checks that the original evidence is stored and readable. Management packs stay local until you choose to share them.

What does Enterprise DNA charge? expand_more

One setup fee, then a retainer for the agreed customisation and ongoing operation. We scope your client count, reports, migration and connections before quoting. You keep the database and the code.
