The Teachworks bill
A fee on every student in every lesson
Teachworks bills after each month on the student lessons you taught. Here is what sits in that bill.
A charge per student lesson
Starter adds US$0.32, Growth US$0.189 and Premium US$0.065 for each student in each lesson. A group class of four counts four times.
A base fee on top
US$16.49, US$47.99 or US$187.99 a month before the first lesson. Premium base fees alone come to US$2,255.88 over twelve months.
Billed in US dollars
Subscription fees are charged in US dollars, so an Australian or New Zealand centre pays a bill that moves with the exchange rate.
Branches cost extra
Premium includes five branch accounts, then US$35 a month for each branch after that.
The API on the higher plans
Starter includes the add-ons and integrations except the Teachworks API, which comes with Growth and Premium.
Bulk email on a fair use limit
One bulk email per student lesson a month is included. Above that, Teachworks charges US$1 per 1,000 emails.

Switching
How to switch from Teachworks
The move involves exporting your core records, mapping them into the new database, checking the results, and running both systems side by side before you switch.
- 1
Export your Teachworks records
Download your families, students, employees and lesson history from Teachworks to Excel. The new system imports families, students, teachers and lessons, so save those downloads in a format it can use, usually CSV or Excel. Check with Teachworks if you are unsure what your account allows. Keep the original downloads, including invoices and notes, because those records do not come across in this version.
- 2
Load the records in order
Set up your locations, services and teachers, then bring in families, students, teachers and lesson history in that order. Start with a test run before loading the records for real. This gives you a chance to review how the data fits before it is added. Past lessons are marked as already billed in Teachworks, helping prevent a family from being invoiced twice for those lessons.
- 3
Review the results and gaps
Check the test run and imported records for anything that needs attention, then review the system's record checks. Lesson attendance is mapped from Teachworks statuses, but check that the results match your records. Invoices, payments, notes and portal logins do not come across in this version. Teachworks does not store safety checks, so add those records separately and review any gaps the checks identify.
- 4
Run both systems briefly
Keep Teachworks available while you use the new system for a short period. Compare the schedules, attendance and billing records you rely on, and resolve differences before making the new database your main record. Keep the Teachworks downloads and any information that did not import accessible during this check. This gives you a chance to confirm the move against your own day-to-day work.
- 5
Switch off Teachworks
Once you have checked the records and are comfortable using the new system, stop relying on Teachworks for day-to-day work. Keep the exports and any invoices, notes or other history that did not come across where you can retrieve them. The new system can handle families, students, teachers and lesson history, but the excluded records remain in your Teachworks downloads.
Where the real effort goes
The real work is usually mapping your own fields and rules, then deciding how much history to bring across. The standard import covers families, students, teachers and lesson history, but not invoices, payments, notes or portal logins. Safety checks need to be added separately. Enterprise DNA handles the mapping when you have them install and run the system.

Questions
Instead of Teachworks, answered
Do parents lose the family portal? expand_more
The free version has no portal. Families get invoices, statements and progress reports as documents, and pay the way they do now. If your families book and pay online, Enterprise DNA builds a portal into your version.
Can we bring our Teachworks history with us? expand_more
Yes. Teachworks downloads families, students, teachers and lesson history to Excel. Those four downloads bring your records across, with attendance mapped and past lessons marked as already billed, so no family is invoiced twice. Invoices, notes and portal logins stay in your Teachworks downloads. Enterprise DNA does the mapping for you.
How do teachers mark attendance without an app? expand_more
The office marks the day's lessons from the schedule, or a teacher says what happened and it is recorded. Unmarked lessons are flagged the next day, and teacher pay waits for them. A teacher screen is something Enterprise DNA can build into your version.
Does this make us compliant with working with children rules? expand_more
No software does that on its own. It checks the records you keep: who is teaching children without a current check for that state, NSW checks not yet verified, New Zealand rechecks due and checks about to expire, each with its source for you to review.
What does Enterprise DNA charge? expand_more
One setup fee, then a retainer for the agreed ongoing work. Sam scopes the records to bring across, your billing and make-up rules, and whether you need a portal. The free version carries an MIT licence and costs nothing.
Bring last month's Teachworks invoice and your term timetable
Spend 30 minutes with Sam. Look at what Teachworks costs you per lesson, how your centre books and bills, and what has to come across. Leave with a clear scope for a tutoring system your centre owns.
