The subscription you are comparing

Start with the cost desk your practice uses

UniPhi covers a broad project lifecycle. If you are comparing the cost benchmarking part, separate that work from the other functions your business needs before switching.

Switching

How to switch from UniPhi

A move like this involves exporting your budget, mapping it to your project context, checking the imported records and running both systems side by side before you switch.

  1. 1

    Export your budget

In UniPhi, export your budget from Costs > Budget. The documented workbook includes hierarchical cost codes and descriptions, quantities, units, rates and budget amounts. Save the budget worksheet as a spreadsheet text export, usually CSV. If your export is customised or you cannot find this option, check with UniPhi about what your account allows before you start mapping the records.

  2. 2

    Test the import

Set the real project comparison context before loading the budget. Start with a dry run to see how the exported columns map to the new records. The importer brings in leaf cost elements, not parent subtotals, and preserves a supplied budget amount. Review the mapping before importing for real. If your export differs from the documented layout, the fields may need to be mapped for your version.

  3. 3

    Reconcile the results

Check the import report and compare the imported leaf elements and totals with the UniPhi workbook. Resolve invalid rows before trying again, since an import with invalid rows rolls back as a whole. Then review the records for missing source evidence, scope, assumptions or reviews. Exported approvals do not carry over, so do not treat an imported plan as approved without a new review.

  4. 4

    Run both in parallel

Keep UniPhi available for a short period while you use the new database for the cost benchmarking desk. Compare the relevant cost plans, source evidence and review records in both systems, and check that the new comparisons use the right project context. Keep source workbooks and attachments separately, since evidence references do not copy the files into the database.

  5. 5

    Retire UniPhi

Switch off UniPhi only after you have checked the imported records and completed the parallel review. Confirm that you have kept the source workbooks and attachments you need, along with any records or functions outside the cost benchmarking desk that your practice still uses. This replacement does not cover every part of UniPhi, and it does not write back to UniPhi.

Where the real effort goes

The main work is usually mapping your own fields and rules, then deciding how much history to bring and checking that the imported totals and scope match. The documented budget export gives you a starting point, but customised exports and comparison context may need extra attention. If you have Enterprise DNA install and run it, they handle the mapping and reconciliation for your version.

Questions

Instead of UniPhi, answered

Does this replace every part of UniPhi? expand_more

The free version covers the cost benchmarking desk: cost plans, comparisons, tender evidence and reviews. UniPhi also offers a wider project platform. Enterprise DNA scopes and builds the other functions your practice needs as part of your custom version.

Can we bring our UniPhi budgets across? expand_more

Yes. UniPhi documents a budget workbook export with cost codes, descriptions, quantities, units, rates and budget amounts. Save the budget worksheet as a spreadsheet text export. The free version imports its leaf cost elements after you supply the project context. We map customised exports and reconcile totals for your version.

Does it include a market cost database? expand_more

It uses your own historical cost plans. You supply the price index values and retain their source. Comparisons keep currencies and locations separate and use reviewed evidence. We build the licensed data connections and additional comparison rules your practice chooses.

Will the reports satisfy our professional obligations? expand_more

The records support review by a qualified surveyor. Checks flag missing sources, scope, assumptions and reviews. They do not certify an estimate or replace professional judgement. Your version can add the classifications and review process your practice requires.

What does Enterprise DNA charge? expand_more

One setup fee, then a retainer. We agree the scope around your records, reports, connections and operating needs. The free version has no software licence fee; running it yourself still requires your own hosting, tools and administration.
