Switching

How to switch from vintrace

Moving off vintrace is less about swapping software and more about mapping your vineyard records, lab results and production history into the new database before you rely on it for day to day cellar work.

  1. 1

    Export your vintrace records

    vintrace's own export tools cover vineyard records and lab results as CSV. Export what your account allows, usually CSV or Excel, and check with vintrace for anything beyond those two record types. Full cellar history, movements and attachments do not come out through a standard export and need to be handled separately before you bring them across.

  2. 2

    Preview the import first

    Run a preview of the import before committing anything. This shows what the vineyard records and lab results will look like once loaded, without changing anything in the new system. Only once the preview looks right do you run the actual import, which keeps the original identifiers and values so you can check them against vintrace.

  3. 3

    Review what the import flags

    After loading, run the checks that look for record gaps, late entries, short retention dates and missing recall evidence. These flags are not a compliance certificate, they are a worklist. Go through each flagged item against your vintrace records before you trust the new database for day to day cellar work.

    Run vintrace and the new system together

    Keep vintrace running while your team works in the new database for a short period. Record cellar work, lab results and movements in both. This is how you catch mapping mistakes and missing fields before anyone relies on the new system alone for an owner report or a compliance check.

  5. 5

    Switch vintrace off

    Once the side by side period is done and the flagged items are cleared, stop entering new records in vintrace. Keep the account long enough to export anything you missed, then cancel it. From that point your lots, vessel contents, lab results and cellar work live only in the database you own.

How does the cost compare with vintrace? expand_more

Vintrace does not publish a subscription amount on the current product page we checked. Bring your renewal bill and included services. The free base has no licence fee. Hosting, agent usage and operating work have their own costs. Enterprise DNA scopes the build, then charges one setup fee and a retainer to run it.

Can we bring our existing vintrace records? expand_more

Yes. The free import covers vineyard records and selected numeric lab results from CSV exports. It keeps source identifiers and original values for review. Wine balances, historical movements, attachments and the remaining records need mapping and reconciliation. We scope that work around your actual exports before the switch.

Will a blend keep the source wine traceable? expand_more

The free version records each parent lot, the volume used and the weighted origin composition. A source-lot review follows descendant blends into remaining vessel contents, bulk recipients and bottling records. The result depends on the origin and movement history you have entered.

Does this replace our compliance review? expand_more

The free checks flag selected record gaps, late Australian entries, short retention dates and missing New Zealand recall exercise evidence. They do not certify wine or replace your wine standards management plan. We configure your version around the winery requirements and the evidence your verifier needs.
