Instead of Accruent Space Intelligence

Stop renting Accruent Space Intelligence. Own your workplace planning system.

We build your version around your offices, attendance assumptions and move approvals. Bring your building register across, agree the remaining migration, and let us run the system for you.

Accruent lists Basic at US$10,000 a year and Advanced at US$30,000 a year, plus headcount costs. Your final quote depends on the tier.

What the subscription covers

Space planning priced by the package and headcount

Accruent Space Intelligence combines workplace data and scenario planning. Compare the parts your team uses with a planning desk built around your own records and decision process.

paid

A yearly base charge

Basic is listed at US$10,000 a year before headcount costs. Use your actual renewal quote when comparing the scope.

groups

Headcount costs on top

The vendor adds headcount costs to the base package. The listed base is not the complete bill for an organisation.

layers

Scenario planning in Advanced

Advanced is listed at US$30,000 a year plus headcount costs, with allocations, restacking and scenario comparison.

hub

Connections across workplace systems

The product combines data from systems such as EMS, FAMIS and Lucernex. Identify the connections your business actually needs.

map

Maps and visual planning

Indoor mapping and floor-level scenarios are part of the Advanced offer. We scope the views your planners need in your version.

fact_check

Your process decides the replacement

Bring a recent move proposal, its review pack and your renewal quote. Those define the work your version must handle.

Your records, your planning rules

A weekly review that joins capacity, evidence and move tasks

Footprint

Know which proposal fits the recorded capacity

Keep buildings, floors and department headcounts together. Compare assigned seats with the peak attendance assumption before approving a move.

  • check Current people and seats by floor
  • check Scenario differences beside today’s footprint
  • check Floor overages and missing headcount assignments
  • check Checks that combine capacity evidence with the departments affected

Attendance

Separate observed use from an assumption

Keep actual counts, their dates and their evidence. A floor with no recent sample stays unknown rather than looking empty.

  • check Recent sample counts alongside average attendance
  • check Peak observed attendance against recorded capacity
  • check Offices needing a fresh count
  • check Explicit peak assumptions for each department

Moves

Make the decision and its blockers visible

Each scenario has an owner, deadline and move checklist. A human records approval only after the checks pass.

  • check Overdue tasks grouped by accountable owner
  • check Named completion evidence for blocking work
  • check Changed inputs require a fresh approval
  • check The former footprint remains in the planning history

Review packs

Produce the paperwork from the records

Prepare a move brief, capacity record and weekly review in your business brand. Your planner checks the evidence and makes the decision.

  • check Proposed allocation and unresolved checks together
  • check Emergency-plan references and review dates
  • check Read-only views for the Monday meeting
  • check Your own fields, questions and review rules

Switching

How to switch from Accruent Space Intelligence

A move involves exporting the Facilities building register, testing its import, then reconciling floors, allocation scenarios and any history or evidence you choose to bring.

  1. 1

    Export the building register

Use Accruent’s documented CSV export from Facilities to export the building register. If that export is not available in your account, or you need records beyond the building register, check with Accruent about what your account allows. Do not treat the building export as a complete migration: floors, allocation scenarios and other records need separate reconciliation.

  2. 2

    Preview the import

Ask whoever is setting up the database to run the import preview first. It validates the full batch without saving, accepts mapped column labels, and preserves the original CSV, raw fields and source identity. Review the preview before loading records for real.

  3. 3

    Review import findings

Review the import’s validation findings and any rows it will not accept, including changed source rows that need reconciliation. Confirm building names and fields against the export, then reconcile floors, allocation scenarios, drawings, sensor history and approval evidence separately if you choose to bring them. Keep a list of unresolved gaps.

  4. 4

    Run both side by side

Keep Accruent and the new database in use side by side for a short period. Have planners compare the records and outputs they rely on, including current building details and any reconciled floor or allocation data. Check discrepancies with the people who own those records, and settle them before treating the new database as the working record.

  5. 5

    Switch off Accruent

After the side-by-side check, set the new database as the place planners maintain space records, then end Accruent access or service according to your agreement. Before closing the account, confirm with Accruent whether you need to retain access to source exports or other records not migrated. Keep the migration scope and unresolved exclusions documented.

Where the real effort goes

The building register is the straightforward starting point. The real work is matching your field names and local capacity rules, then reconciling floors, allocation scenarios, drawings, sensor history and approval evidence you decide to bring. Agree what history to migrate before switching. If Enterprise DNA installs and runs the system, they handle this migration work with you.

Questions

Instead of Accruent Space Intelligence, answered

What does Accruent Space Intelligence cost? expand_more

Accruent lists Basic at US$10,000 a year and Advanced at US$30,000 a year, both plus headcount costs. The vendor says pricing varies by tier. Bring your renewal quote so the comparison uses your actual scope.

Can we bring our existing records across? expand_more

The free version imports the building register from the documented Facilities CSV export. It keeps the original source and supports different column labels. Floors, allocation scenarios, drawings, sensor history and approval evidence need separate reconciliation. We agree that migration with you before switching.

Can our planners still use maps or live attendance feeds? expand_more

We scope floor-planning screens, mobile access and live connections into your version where they matter. The free base gives a planner a records desk with read-only views and manually recorded attendance counts. Your workflow determines the extra work.

Does a passing check mean a move is safe? expand_more

No. The checks surface missing evidence, capacity conflicts and unfinished tasks. A competent person assesses the actual workplace and records the decision. Emergency-plan references and review dates support that process. They do not certify a building or replace a safety assessment.

Who owns it, and what does Enterprise DNA charge? expand_more

You own the database and can export the records. The code is free and open source, with hosting and operating costs depending on your setup. Enterprise DNA scopes a setup fee, then a retainer for customisation and ongoing operation. The first call establishes what your version needs.
