The subscription you are replacing

The price follows editing access and plan capacity

Airtable sells a hosted platform around your records. Its published plans tie the bill to paid users and the capacity your business needs.

Business editing seats

Business lists US$45 per user per month on annual billing. Editing access drives paid seats; read-only collaborators are free.

The Team starting point

Record capacity

Airtable limits records by plan. At the limit, adding more records requires an upgrade.

Attachment capacity

Attachment storage also has plan limits. Reaching the allowance stops new attachments until you upgrade.

Automation allowances

Automations have usage limits on each plan. The price includes a capped allowance rather than unlimited runs.

Switching

How to switch from Airtable

A move involves exporting your records, mapping your fields and rules, checking the imported data, and keeping both systems running until the replacement passes your checks.

  1. 1

    Export your Airtable records

Export each grid view you need as a CSV, without filters, so every record is included. Each export brings across the visible field values. Download attachment files separately because the CSV contains temporary references, not the files themselves. Check with Airtable if you are unsure which export options your account allows.

  2. 2

    Load a test copy first

Test a copy of one export without saving any records. The import can show you how the data will come across before you load it. Each visible CSV column is preserved as text, so plan to map fields and rules that need different types or behaviour. Import each exported grid view separately.

  3. 3

    Check the imported data

Review the test run, then compare record counts, fields and dependencies with Airtable. Formula results and linked labels need reviewed reconstruction, and relationships and calculations may need mapping. Check that the right records and values are present, and configure privacy classification before using imported records. Resolve any gaps before loading the records you plan to use.

  4. 4

    Run both systems briefly

Keep Airtable and the replacement running side by side for a short period. Use the replacement for real checks, such as reviewing overdue work, owners and dependencies, while comparing the results with Airtable. Keep the original system until the replacement passes your checks and your team is comfortable with the records and rules it contains.

  5. 5

    Switch off Airtable

Once you have checked the records, relationships, review routines and required workflows, make the replacement your working system. Keep a suitable export of your Airtable records and history for your own reference. Do not switch off Airtable while important workflows or data checks are still unresolved.

construction

Where the real effort goes

The main work is usually mapping your own fields, relationships, calculations and review rules, then deciding which history and attachments to bring across. Exported values alone do not recreate your Airtable application. If Enterprise DNA runs the move, they handle this mapping and migration as part of the agreed version, based on what you actually use.

Questions

Instead of Airtable, answered

Does this replace every Airtable feature? expand_more

The free version manages records, custom fields, dependencies and review routines. If your team needs shared editing screens, forms, mobile access or connected automations, Enterprise DNA builds those into the agreed custom version. We scope that work against what you actually use.

What comes across from our Airtable account? expand_more

Each exported grid view brings its visible field values across. Export without filters to include every record. Download attachment files separately, because the export contains temporary references. We map relationships and calculations and check the record counts before switching. Exported values alone do not recreate your existing application.

What will we still pay for? expand_more

The free software has no licence or seat charge. Running it still needs computing and an agent subscription. Enterprise DNA charges one setup fee, then a retainer for the agreed customisation and managed service. We assess that against your current bill on the call.

Can it handle personal information and retention reviews? expand_more

It records purpose, review dates and evidence, with scoped NZ and AU checks. Those checks identify records for review; they do not certify legal compliance. Your operator decides applicable retention duties and access rules. Archiving keeps information, so disposal needs a separate authorised process.

Can we try it before moving the business? expand_more

Yes. Start with the fictional research business, then test a copy of one export without saving it. Compare counts, fields and dependencies with Airtable, agree any missing workflows, and keep the original system until the replacement passes your checks.
