Switching

How to switch from Coach Manager

A move usually involves inspecting a trial export, mapping and checking your records, then running Coach Charter alongside Coach Manager before you switch over.

  1. 1

    Get your records out

Ask your administrator or Coach Manager vendor for an export, then export what your account allows, usually CSV or Excel, and check with Coach Manager if you are unsure. Start with bookings and journeys, the records the free version accepts. Also ask for school contracts, allocations and payment history you rely on, and identify which records need separate reconciliation.

  2. 2

    Load a trial export

Use a trial export before moving live records. Map its columns to the fields Coach Charter expects, especially booking and journey details. If the import process offers a test run, use it first. Otherwise, have the trial export loaded before committing the full history. Check that the mapped fields make sense for your operation rather than assuming the two systems use the same names.

  3. 3

    Review import issues

Check the imported column meanings, dates and totals, and review any issues or rejected records before relying on the new database. Changed records may be rejected for deliberate reconciliation. Do not assume allocations, driver evidence or payment history will be inferred from the booking and journey export. Reconcile those records separately if your operation needs them.

  4. 4

    Run both side by side

Keep Coach Manager as your working system while you use Coach Charter alongside it for a short period. Compare the records and checks your office relies on, including bookings, movements, allocations and balances. Review any missing evidence or flagged exceptions, and resolve differences before changing your process. The checks cover recorded information only and do not replace your dispatch decision.

  5. 5

    Switch off Coach Manager

Once your side-by-side review is satisfactory and the differences you found are resolved, make Coach Charter your working system and stop entering new work in Coach Manager. Tell the people who handle bookings and dispatch which system is current. Then switch off Coach Manager through your usual account process, and retain exported records according to your recordkeeping needs.

Where the real effort goes

The main work is usually mapping your own fields and operating rules, then deciding how much history to bring across. Booking and journey records can be imported from a mapped export, while allocations, driver evidence and payment history need separate reconciliation. If you have Enterprise DNA run the setup, they handle the mapping, checks and record import as part of building your version.

Questions

Instead of Coach Manager, answered

Can I bring my Coach Manager history across? expand_more

Yes, after we inspect the export your administrator or vendor supplies. The free version accepts a mapped booking and journey export. We verify column meanings, dates and totals before import. Allocations, driver evidence and payment history need separate reconciliation.

Will it tell me a driver is legal to send out? expand_more

It flags missing evidence and a limited set of recorded exceptions. It does not replace the full work diary, licence checks or the operator’s dispatch decision. We agree the rules and evidence your operation needs before putting your version into service.

What about the driver app, maps and accounting links? expand_more

We scope those connections and interfaces around the work your office and drivers need. They are part of building your version. The free base demonstrates the booking, allocation and record checks on fictional data.

Is the free version enough for my office? expand_more

It gives you booking records, allocation checks, draft work tickets and operational reports. Start with a trial export and run it alongside your current process. Review anything your office relies on before deciding which connections and interfaces to add.

What do I pay Enterprise DNA? expand_more

A scoped setup fee to build and bring your records across, then a retainer if we run it for you. The code is free to use yourself. Your hosting and any paid services remain separate costs.
