What the subscription covers

The bill follows the number of estates you open

Estateably sells platform plans by new files a year, with per-file plans, add-ons and fees around them. Compare that with an estate system built around your own practice and the rules in your jurisdiction.

paid

A yearly file allowance

Pro is US$12,996 a year when billed annually, for 50 new files. Growth is US$583 a month billed annually for 25.

add_circle

More estates, more charges

Each file beyond the allowance is US$320 on a platform plan. A busy year costs more.

description

Per-file pricing for trusts and estates

Without a platform plan, a trusts, estates and powers of attorney file is US$399.

campaign

Fees for notices

A notice to creditors is US$105 through the platform, with publication fees on top for public notices.

school

Onboarding to set it up

Every plan lists US$350 onboarding to load letterhead and templates.

public

Built around US and Canadian probate

Court forms and accounting formats follow the North American process. NZ and Australian rules are yours to track.

Your own estate desk

Start with what your estates team checks every week

Distribution

Know when an estate can distribute

Each estate shows the date it is protected for distribution and the end of its claims period, from the grant, the date of death and the notices on file.

  • check New Zealand: six months from the grant, held while a claim is live
  • check New South Wales: after the notice of intended distribution and six months from death
  • check Other states shown as not configured, never guessed
  • check A distribution outside the window needs the advice relied on, and is reported

Claims

Never miss a claim notice lapsing

Record a written notice of intention to claim and the date it was received. The system shows when it stops holding the estate.

  • check NZ notices lapse three months after receipt unless the claim is filed or served
  • check A warning 14 days before a notice lapses
  • check Filed and served claims hold distribution until resolved
  • check Every change kept in a file history that cannot be edited

Estate account

Every dollar in and out, per estate

Assets collected, debts paid and distributions made form one estate account, with the cash held and the debts still owed.

  • check Date-of-death values beside what each asset realised
  • check A distribution refused if it would leave less than the unpaid debts
  • check Minors’ shares recorded as held on trust, never paid out
  • check Cash held across all estates by responsible lawyer

Your paperwork

Letters, updates and accounts in your name

Draft the letters and reports an estate needs from the records, on your letterhead, for a person to check and send.

  • check Letters to banks, registries and funds for balances and release
  • check Beneficiary updates written from the estate account
  • check Estate accounts and a statement of assets and liabilities at death
  • check A Monday review of what is overdue, lapsing and ready

Switching

How to switch from Estateably

A move usually involves exporting each estate’s inventory, testing and reviewing the import, then checking records while both systems are available.

  1. 1

    Export each estate inventory

In Estateably, open an estate’s Inventory module, choose Reports, then Export Inventory. Save the general inventory sheet as a CSV for that estate. If your account does not offer this export path, export what it allows, usually CSV or Excel, and check with Estateably. Keep each export matched to the estate it came from.

  2. 2

    Test the import first

Import the inventory into the matching estate, starting with a dry run so you can review it before applying changes. The import brings assets across, not every estate record. Plan to record the grant, beneficiaries, debts, claims, and money already moved separately, then reconcile each estate account with your trust account before relying on the new records.

  3. 3

    Review the import results

Check what the dry run reports before applying the import. Identical rows are skipped, and a conflicting row stops the whole file, so resolve conflicts before trying again. Each source column is kept with the asset. Use the switching guide’s mapping notes to confirm what came across and what did not, then check that the records you need are present.

  4. 4

    Run both systems briefly

Keep Estateably available while you work from the new database and Claude Code for a short period. Compare estate inventories and current positions, and check that updates are being recorded in the right place. Reconcile each estate account with your trust account before relying on the new records. Agree with your team how to handle changes during this overlap so records do not drift.

  5. 5

    Switch off Estateably

When you have checked the imported records, reconciled the accounts, and agreed the new process with your team, stop entering new work in Estateably and use the new system as your working record. Keep exported files and database backups private because they contain personal information about the deceased and their family. Confirm you have access to any records you still need before ending Estateably access.

Where the real effort goes

The real work is usually mapping your fields and rules, deciding which history to bring forward, and recording information that is not in the inventory export. The export brings assets across, while grants, beneficiaries, debts, claims, and money already moved need to be recorded, and estate accounts reconciled. When Enterprise DNA installs and runs the system for you, they handle this setup and migration work.

Questions

Instead of Estateably, answered

Does this replace everything Estateably does? expand_more

The free version covers the estate desk: grants, assets, debts, beneficiaries, claims, notices, the estate account and the letters around them. It does not file court forms or run a beneficiary portal. We scope those for your version before you switch.

Does it tell us when it is safe to distribute? expand_more

It shows when an estate meets the recorded rules for New Zealand and New South Wales, and it refuses a distribution outside that window unless the advice relied on is recorded. The responsible lawyer still decides. It is a records check, not legal advice.

What happens to our existing Estateably estates? expand_more

Estateably exports each estate’s inventory as a spreadsheet. We bring the assets across, then record the grant, beneficiaries, debts, claims and money already moved, and reconcile each estate account with your trust account before you rely on it.

We work in Victoria and Queensland too. Will it handle that? expand_more

The free version has the New Zealand and New South Wales rules and marks other states as not configured, so nothing is guessed. Your version carries the rules for every state you work in, each with its source.

What do we pay Enterprise DNA? expand_more

The code is free. A version built and run for your practice has one setup fee, then a retainer. Sam reviews your Estateably bill, how many estates you open a year and the letters you send before agreeing the scope.

Own the records behind every estate you administer

Take 30 minutes with Sam to go through your Estateably bill, the estates your team runs and the rules you work under. We map your files and agree what your version needs before you change systems.
