Instead of Gatekeeper

Stop renting Gatekeeper. Own your supplier assurance system.

We build your version around how you approve and review suppliers, bring your Gatekeeper vendor records across and run it for you. Your evidence rules, your owners, your database.

Gatekeeper quotes privately based on third-party volumes, workflows, integrations and features. Users are unlimited. Compare your actual contract with the supplier work you need.

Switching

How to switch from Gatekeeper

A move usually involves exporting your vendor register, mapping the fields and rules you use, checking the import, then running both systems side by side before cutover.

  1. 1

    Export the records you need

Start with the vendor register you use in Gatekeeper. Export what your account allows, usually CSV or Excel, and check with Gatekeeper if you are unsure how. Include the supplier IDs and names, along with the source fields you need to keep. List contracts, attachments, contacts, workflow history, previous approvals and risk records separately, since they need their own mapping.

  2. 2

    Test and load the register

Have the vendor register loaded into a fresh database, without the fictional demo records. First use the import’s test run so you can check the file without saving it. The importer needs Gatekeeper IDs and supplier names, and can map renamed headings. Once the test looks right, load the register. Imported source fields are preserved.

  3. 3

    Review import issues

Check the test results and any import errors before relying on the records. Resolve invalid entries, duplicate IDs and source rows that have changed, since these can stop the whole file from importing. Imported suppliers still need classification and evidence review. A Gatekeeper status of Live does not mean a supplier is approved in the new system.

  4. 4

Run both systems side by side

Keep Gatekeeper available for a short period while you work through supplier assurance in the new system. Check that the suppliers, fields and decisions you rely on are present, and complete the required classification and evidence reviews. Reconcile the separate records you agreed to bring across, such as contracts or previous approvals, before treating the new database as your working record.

  5. 5

    Switch off Gatekeeper

Once you have checked the records and your team can complete its supplier assurance work in the new system, stop using Gatekeeper for that work. Before ending your Gatekeeper use, confirm whether you still rely on its wider contracting or supplier platform features. Those are outside the basic supplier assurance register and need to be accounted for in your cutover plan.

construction

Where the real effort goes

The main work is usually mapping your own supplier fields and review rules, then deciding which history to bring. The vendor register has a direct import path, but contracts, attachments, contacts, workflow history and previous approvals need separate mapping and reconciliation. If you have Enterprise DNA install and run your version, Enterprise DNA does this mapping and reconciliation with you before the switch.

Questions

Instead of Gatekeeper, answered

What would we own instead of our Gatekeeper subscription? expand_more

The free base covers supplier onboarding, evidence reviews, qualification decisions, performance and corrective actions. Your database and the rules are yours to change. Gatekeeper covers a wider contracting and supplier platform. We scope your version against the work you use today, including any connections and intake screens you need.

Can our existing Gatekeeper vendor history come across? expand_more

The free version imports the vendor register from an exported file and preserves its original fields. Imported suppliers wait for classification and evidence review. Contracts, attachments, contacts, workflow history and previous approvals need separate mapping. Enterprise DNA reconciles the agreed records before the switch.

Does passing an evidence check mean a supplier is compliant? expand_more

No. It means the required review references are present and current, with no open critical finding. A responsible person must inspect the evidence and decide which legal duties apply. The checks help organise that review. They do not verify documents, run credit checks or certify a supplier.

How should we compare this with Gatekeeper or Kodiak Hub? expand_more

Start with your supplier approval and review work. Gatekeeper combines vendor and contract management. Kodiak Hub offers supplier relationship management. The free version here provides an owned supplier assurance base. If supplier portals, external risk information or connected business views matter, Enterprise DNA scopes those into your version before cutover.

What does Enterprise DNA charge to build and run our version? expand_more

One setup fee, then a retainer for agreed ongoing work. Sam reviews your current contract, supplier export and required workflows in a 30-minute call. The free licence has no supplier limit. Hosting, support and agent use have their own costs.
