What drives the bill
A plan, extra authors and extra knowledge bases
KnowledgeOwl charges for the plan and additional author seats and knowledge bases. Readers are unlimited. These are the costs and decisions to compare before changing systems. <a href="https://www.knowledgeowl.com/pricing">Vendor pricing, checked 21 October 2026.</a>
The monthly plan
Published monthly plans start at $100 for Basic, $250 for Pro and $500 for Business. The annual option is discounted.
People who maintain the answers
One author is included. Each additional author adds $25 a month on monthly billing; readers do not attract that author charge.
More than one handbook
One knowledge base is included. An additional knowledge base adds $50 a month on monthly billing.
The hosted reading experience
Your subscription includes a hosted knowledge experience. Decide whether your next version serves internal operators, public readers or both.
The editorial routine
Articles still need owners, corrections and evidence that the answer was checked. Put that work beside the content so it stays visible.
The move out
The metadata export and the HTML content export serve different purposes. Reconcile both, including restricted articles, before ending the old subscription.

Switching
How to switch from KnowledgeOwl
A move involves exporting your article metadata and current article bodies, matching them, and reviewing anything that needs separate migration work.
- 1
Export your KnowledgeOwl content
Export Manage articles as a CSV and take an HTML Zip export from KnowledgeOwl. The CSV carries article metadata and statistics, while the HTML export contains current article bodies. Keep both original exports in private storage. Extract the HTML archive before importing. If your account does not offer these export paths, check with KnowledgeOwl about what it allows you to export.
- 2
Prepare and preview the import
Load the CSV and extracted HTML in a test run before importing for real. The CSV on its own brings in the article register and statistics, not the article text. If the exported HTML names do not match article IDs or permalinks, prepare a clear mapping so each article is matched to its body. Do not ask the importer to guess.
- 3
Review the import findings
Check the test run findings before accepting the import. Missing or ambiguous matches stop the whole import, so resolve those rather than proceeding with a partial set. Check which records have usable article bodies and whether the fields and collection structure fit how you work. Images, videos, shared content, earlier revisions, reader accounts and access rules need separate migration work.
- 4
Run both side by side
For a short period, keep KnowledgeOwl available while you and the people responsible for articles compare the imported register and current article bodies, check ownership information, and confirm the new internal process works. Do not treat imported restrictions as enforced access controls. If readers depend on a public help site or restricted content, plan the required reading experience and permissions before changing over.
- 5
Switch off KnowledgeOwl
Switch off KnowledgeOwl only after you have checked the imported content and agreed what happens to anything not included in the import. Keep the original exports in private storage. If you need earlier revisions, media, shared content, reader accounts, access rules or a public help site, finish planning that work before you end the service.
Where the real effort goes
The real work is deciding how your own fields and review rules map to the new database, and what history you need beyond current article bodies. Earlier revisions, media, shared content, reader accounts and access rules require separate scope. Enterprise DNA handles the export, matching and reconciliation when you have them run your version.

Questions
Instead of KnowledgeOwl, answered
Will all our KnowledgeOwl content come across? expand_more
The free version imports the article metadata export and matches current article bodies from an extracted HTML export. It stops when a content match is missing or ambiguous. Earlier revisions, media, shared content and reader accounts need separate migration work. We reconcile that scope before you switch.
What happens to our public help site and restricted articles? expand_more
The free version is an internal system for a trusted operator. Imported restrictions remain as source information. Enterprise DNA builds the reading experience, sign-in and enforced permissions your version needs, including a public help site if required.
Does the review process prove that our answers are correct? expand_more
No. It records who checked each revision, what evidence they used and the next review date. The person reviewing the answer remains responsible for its accuracy. Privacy checks flag missing evidence and distinguish cited principles from your house rules.
Do we pay for every person who reads it? expand_more
The free code has no licence fee per reader or author. KnowledgeOwl also includes unlimited readers, while extra authors affect its bill. Running your own version still needs hosting and support; the managed version has one setup fee, then a retainer.
Can it fit the way our service team works? expand_more
Yes. Enterprise DNA builds your fields, review steps, screens and connections around the business. Start with the articles and recurring questions that matter, then agree the migration and operating scope with Sam.
