Instead of Nexudus

Stop renting Nexudus. Own your coworking system.

We build your version around your membership agreements, rooms and weekly work, bring your Nexudus customer list across, check the opening records and run it for you through Omni by Enterprise DNA.

Nexudus bills each location by its active users every month and does not publish the rate on its help pages. The extras are published: EUR 150 a month per five locations for the branded Passport app, EUR 100 a month plus EUR 25 per location for Explore Pro, EUR 50 per location for each listed door connection, all excluding VAT. Checked 22 October 2026.

The Nexudus bill

A subscription that grows with your members, then the extras

Nexudus counts active users at each location every month and invoices each location separately. The add-ons below are from Nexudus's own pricing help page, in euros, excluding VAT, checked 22 October 2026. Bring your invoice to see your real total.

Switching

How to switch from Nexudus

The move depends on how much of your Nexudus data and history you choose to map, then on checking the records and testing agreed connections before switching.

  1. 1

    Export your records

Ask a full unrestricted Nexudus admin to export the customer list as a spreadsheet. The documented customer export is XLS, which you save as CSV for the import. Decide which agreements, bookings, balances, notes and other history you want to bring too. Export what your account allows for those records, and check with Nexudus if you need help finding an export.

  2. 2

    Choose what to map

Decide how Nexudus customer fields should line up with the new records, including location where needed. The included import carries customer ID, name, email and company only. Agreements, bookings, balances, notes and other history need separate mapping and reconciliation, so agree what to include rather than assuming it will come across with the customer list.

  3. 3

    Test, then load customers

Save the customer spreadsheet as CSV and run the import's test mode before loading the records. It shows mapped counts without writing the data. Check whether the column headings were matched correctly, especially if your export uses different headings. Once the test looks right, load the customer records. This import does not infer memberships, payments or access credentials.

  4. 4

Review and run side by side

Review the mapped counts and any issues the test run reports, then correct the field mapping or source data and repeat as needed. Imported members are unverified contacts, so plan to verify them before activation. Run Nexudus and the new database side by side for a short period, comparing the records and work your team relies on. Keep existing services running until agreed connections are tested.

  5. 5

    Switch off Nexudus

Switch off Nexudus only after the side-by-side check is complete, your team can handle the agreed daily work in the new system, and any connections you rely on have been tested. Confirm the history you chose to bring has been reconciled. Keep Nexudus running until those checks are done, rather than treating the customer import alone as a complete move.

construction

Where the real effort goes

Most of the work is not loading the customer list. It is matching your own fields and operating rules, then deciding which agreements, bookings, balances, notes and other history to map and reconcile. The free import only carries customer ID, name, email and company. If you have Enterprise DNA run your version, they handle this mapping and setup with you.

Questions

Instead of Nexudus, answered

How much does Nexudus cost? expand_more

Nexudus bills each location monthly by its number of active users, and operators past 500 active users get a quote from sales. The add-ons are published: EUR 150 a month per five locations for the branded app, EUR 100 a month plus EUR 25 per location for Explore Pro, EUR 50 per location for each listed door connection, all excluding VAT. Your invoice is the only reliable total, so bring it to the call.

Is owning our own version cheaper than Nexudus? expand_more

For a single small space, often not on price alone, and Sam will say so on the call. The case gets stronger as members and locations grow, because the Nexudus bill grows with both, or when you want member records beside the rest of the business. The free version has no licence fee. Our version is one setup fee, then a retainer, with no charge per member.

Can we bring our Nexudus history across? expand_more

Nexudus lets a full unrestricted admin export customers as a spreadsheet. The free import carries customer ID, name, email and company after saving it as CSV and checking the headings. Members arrive as unverified contacts. Agreements, bookings, balances, notes and other history need separate mapping and reconciliation, which we scope with you.

Will this take payments or change door access? expand_more

The free base records charges and externally checked payment totals. Taking payments and controlling doors require connections to the services you choose. We agree, build and test those connections as part of your custom version, and keep your existing services running until they pass.

Do the evidence checks certify our space as compliant? expand_more

They flag missing NZ emergency-plan records, overdue retention reviews and missing induction dates. Testing and retention dates come from your policies. Your team checks the evidence and the rules that apply locally. Reports do not inspect the site or certify compliance.

Bring your Nexudus invoice to a 30-minute review

Spend 30 minutes with Sam. Bring your Nexudus invoice, your locations and your active member count. We work out what you pay in a year, which parts your team actually uses, and whether owning your own version makes sense. If staying on Nexudus is the better call, we say so.
