Ten questions across your facility records
These questions are answered by the working demonstration. QReserve also supports custom reports and scripting; compare the exact questions your team needs.
Switching
How to switch from QReserve
The move involves exporting reservation history, checking how your records and rules map, and testing the new desk before you rely on it.
- 1
Export your history
In QReserve, open Activity Reports, choose Download, then Details CSV. Keep Reservation rows for single-unit equipment. Retain the original export so you can compare it with the imported records. If your account does not show this path or the export differs, check with QReserve before proceeding.
- 2
Test the import
Start with the import's test run, then load the export when you are ready. The free version imports reservation rows for single-unit equipment and keeps the original details. Compare the record counts with your QReserve export, as recommended in the project guide, before treating the new database as your working desk.
- 3
Review flagged records
Check the import results and reconcile any issues before relying on the records. Pay particular attention to dates, equipment and operator identities, as well as resource rules, rates and training. Imported history stays historical, and source approvals do not grant live permission. Future bookings need to be reviewed against current records.
- 4
Run both side by side
Keep QReserve available while operators use the new database and Claude Code for the internal equipment desk. Compare upcoming reservations and resolve differences. Make sure future bookings are entered and reviewed in the new system using current records. Imported history remains historical, so it does not approve future activity.
- 5
Switch off QReserve
Stop using QReserve for live reservations only after you have checked the records and agreed process in the new desk. Confirm operators know where to review bookings, training evidence and maintenance holds. Keep the QReserve export available for reference if you need to check source details later.
Where the real effort goes
Most of the work is matching your equipment, people, fields and local rules, then deciding how much history to bring and reconciling dates, identities, rates and training. The import is only part of the move. If you have Enterprise DNA install and run it, they handle this mapping and reconciliation with you.

Questions
Instead of QReserve, answered
Does this cover everything QReserve does? expand_more
The free version covers the internal equipment desk: requests, approvals, training evidence, maintenance holds and usage reviews. We scope researcher self-service, calendar connections and instrument integrations into your custom version before changing the working system.
Can we bring our booking history across? expand_more
Yes. QReserve documents a detailed activity export. The free version imports reservation rows for single-unit equipment and keeps their original details. We check dates, equipment and operator identities with you. Historical approvals stay historical; future bookings are reviewed against current records.
Does an approved booking mean someone can safely operate the instrument? expand_more
An approval means the recorded checks passed. Your responsible person still confirms competence, equipment condition and local safety requirements. A new maintenance hold or revoked training can change readiness after approval.
How are usage costs handled? expand_more
The free version records actual minutes and produces internal estimates using the rate saved at approval. It keeps currencies separate. We scope accounting connections and your billing rules into the custom version, with your finance system remaining responsible for invoices and payments.
What does Enterprise DNA charge? expand_more
One setup fee, then a retainer for the agreed ongoing work. Sam scopes the equipment, records, rules and connections with you before quoting. The free open-source version has no software licence fee; hosting and any agent service are your own costs.
Show Sam how your equipment week works
Bring your QReserve bill and the three checks your coordinator repeats every week. In a 30-minute call, Sam will help define your version, the records to bring across and the work to run for you.
