Instead of Rencore Governance

Stop renting Rencore Governance. Own your workspace review system.

We build your version around the way you review Microsoft 365 workspaces, bring your agreed Rencore records across and run the review process with you. Your owners, your rules, your evidence.

Rencore Governance quotes its subscription privately. Compare your renewal with a workspace review system built for your business.

What the subscription covers

A governance platform around your workspace records

Rencore prices by active, licensed Microsoft 365 accounts. Decide which parts of that platform your business needs, then build your review process around the records and responsibilities you actually use.

paid

An account-based subscription

Your assigned Microsoft licences help determine the Rencore subscription. The current price comes through a quote.

inventory_2

An inventory to browse

Rencore brings connected service metadata together. The review record starts with workspace names, owners and activity.

policy

Policy checks

Rencore monitors configured policies. Your version holds the review rules you choose and shows missing evidence explicitly.

schedule

Workspace lifecycle management

Rencore includes lifecycle capabilities. Your review needs a source date, an accountable person and a recorded decision.

Review workflows

Permission and workspace reviews are part of the wider platform. Your own process can keep the evidence behind the outcome.

Reports and management features

The platform includes reporting and service management. Start by identifying the weekly questions your own review system must answer.

The system you own

A review desk built around the decisions you make

Accountability

Find the workspaces nobody owns

Start with the imported inventory and see where responsibility is missing.

  • check Keep stable workspace identifiers beside their display names
  • check Separate Teams, SharePoint and other supported workspace types
  • check Find missing accountable owners
  • check Combine missing ownership with sharing and retention evidence

Sharing

Review sensitive records shared outside the business

Bring sharing and sensitivity into the same review, with the source date visible.

  • check Separate internal, external and anonymous sharing
  • check Keep unknown settings visible
  • check Find confidential or restricted workspaces shared externally
  • check Record the reviewer, decision and supporting evidence together

Retention

Keep inactive workspaces and holds in view

A quiet workspace still needs a considered decision about its records.

  • check Set your own inactivity threshold
  • check List retention reviews that are due or missing
  • check Block archive recommendations when a hold is recorded or unknown
  • check Draft an owner follow-up for a person to review

Evidence

Know which snapshot supported the decision

Preserve the imported evidence as the inventory changes.

  • check Compare the latest two imports field by field
  • check Keep old reviews with the snapshot they used
  • check Require current evidence before recording a decision
  • check Produce branded review packs and separate completion evidence

Switching

How to switch from Rencore Governance

A move usually involves exporting the workspace records you need, mapping them to the new review process, checking the imported data and running both systems side by side before you switch.

  1. 1

    Export your workspace inventory

Export the Rencore inventory data grid to Excel, including the columns needed for the review scope you have agreed. A report-definition export is not the inventory data. If your account offers different export options, check with Rencore Governance and export what it allows, usually CSV or Excel. Decide which review scope and records you need before preparing the export.

  2. 2

    Test the import first

Load the exported records into Workspace Governance using its test option first. The test checks whether the headings and values can be mapped before the records are saved. Review the proposed mapping with whoever knows your Rencore fields. The import brings across mapped workspace records. Files, full permission relationships and automation definitions need a separately agreed migration.

  3. 3

    Review the import results

Check what the import flags, including headings or values that do not match the agreed mapping. Reconcile the imported row count against the export and confirm the source date and review scope are right. Resolve gaps before using the imported records to make decisions. The system keeps imports as dated snapshots, so reviews can be tied to the evidence they used.

  4. 4

Run both systems side by side

Keep Rencore Governance running while you use the new review process for a short period. Compare the workspace records and findings, and confirm that owners, review rules and evidence meet your needs. The free version works from exports. It does not scan live environments or perform automated actions, so agree how those Rencore activities will be handled before switching.

  5. 5

    Switch off Rencore Governance

Once you have checked the new process, completed any reviews that need Rencore, and saved the history you intend to keep, follow your Rencore renewal or cancellation process. Confirm separately how to handle any files, full permission relationships or automation definitions that were not included in the records import. Keep access to any remaining records you need for your business.

Where the real effort goes

The main work is usually mapping your own fields and review rules, then deciding how much history to bring across. The import needs the actual headings and values from your export, and files, full permission relationships and automation definitions are separate work. If you have Enterprise DNA install and run your version, they handle the mapping and agreed history as part of that work.

Questions

Instead of Rencore Governance, answered

Does the free version replace every Rencore feature? expand_more

It replaces the export-based workspace review process shown here. Rencore also scans live environments and performs automated actions. Enterprise DNA scopes the connections, authentication and operational controls your version needs, so the build matches the work you want to move.

Can we bring our Rencore records across? expand_more

Yes. Rencore exports inventory data grids to Excel. We map the actual headings and values, agree the review scope and reconcile the row count. The free version imports the mapped workspace records. Files, full permission relationships and automation definitions need a separately agreed migration.

Will it remove access or archive anything by itself? expand_more

No. The free version records review decisions and evidence of work verified elsewhere. It sends nothing and changes no Microsoft settings. Your version can include authorised connections with the approval controls your business requires.

Do the checks prove that we comply with privacy law? expand_more

They flag missing ownership, sharing evidence and retention reviews for a person to assess. They do not certify compliance or inspect the contents of a workspace. Archive recommendations are blocked when a hold is recorded or its status is unknown.

What does Enterprise DNA charge, and who owns the result? expand_more

Your version is scoped before the build. We can customise it for your team or install and run it through Omni by Enterprise DNA for one setup fee, then a retainer. You own the database and can export the records. Bring your renewal and the review process you want to change to the call.
